This hybrid role is based in our Manchester office, so you must live within a commutable distance. Due to an exciting time of growth we are now looking for an experienced Travel Coordinator to join our operations team. This customer focused role will take ownership of our school sports tours and trips and ensure the effective and efficient delivery of all administration, operational and organisation tasks. Exceeding our client's expectations you will encourage them to become Inspiresport repeat customers. This is to be done in line with our Brand Pillars and Inspiresport Core Values.
No two days are the same, but on a typical day you will:
- Take full ownership of tour responsibilities including being the contact for party leaders.
- Liaise with 3rd party providers on all aspects of the tour e.g accommodation and transport providers.
- Complete general administrative tasks as required including coordinating & booking fixtures for a tour & handling any last minute changes.
- Form strong relationships including 3rd party providers & party leaders.
- Handle budgets for allocated tours and financial reconciliations post tour.
- Work closely with 3rd parties to form tour itineraries including contracting & negotiating of rates.
- Ensure all information is communicated accurately & in a timely manner to all necessary stakeholders.
- Be fully aware of the years tour schedule & workload.
- Proactively seek out opportunities to help other team members as dictated by the booking and urgency of the action required.
- Use our company systems and take personal responsibility for being knowledgeable of our products.
- Show flexibility in multi-tasking in different areas as required by other team members.
- Travel both domestically & internationally on an ad hoc basis.
To be successful within this role, our ideal candidate will:
- Have working experience within a similar operational role.
- Have a passion for sport and travel.
- Be confident in planning & managing own tours.
- Build, manage & maintain strong relationships with 3rd parties including hotels, transport companies and excursion providers.
- Have previous contracting experience and have confidence in negotiation.
- Have exceptional administration & organisational skills with the ability to multitask.
- Possess excellent communication skills both verbal and written with the ability to communicate to those at levels of seniority.
- Have excellent attention to detail with the ability to work across multiple tours.
- Demonstrate strong IT skills: especially with Microsoft packages (Excel, Word).
- Have the ability to provide exceptional customer service.
- Have the ability to keep calm in an often demanding role.
- Knowledge of transport management systems and or tracking systems would be highly advantageous.
- Be able to occasionally travel both domestically & internationally for work purposes.
