The Senior Accountant plays a critical role in maintaining accurate financial records, supporting month-end close, and ensuring compliance with accounting standards within a fast-paced advertising agency. This position contributes to revenue and expense tracking, job/project accounting, billing support, financial reporting, and process improvement. The ideal candidate has strong technical accounting skills and understands the unique financial workflows of an agency; project-based billing, WIP, pass-through costs, time tracking, and client-based revenue cycles.
Key Responsibilities
- General Accounting & Month-End Close: Support the month-end, quarter-end, and year-end close process to ensure accurate and timely financial reporting. Prepare journal entries, account reconciliations, accruals, and variance analyses. Maintain the general ledger and ensure consistent application of GAAP and internal accounting policies.
- Revenue & Project Accounting: Assist with revenue recognition processes for retainers, fixed-fee projects, and time-and-materials engagements. Reconcile project costs, WIP, and deferred revenue balances. Partner with Project and Account Management teams to ensure accurate job setup, project reporting, and expense tracking. Review production estimates, out-of-pocket costs, and client billing for accuracy and completeness.
- Accounts Payable & Receivable: Process vendor invoices, match POs, and ensure proper coding to jobs and cost centers. Support client billing cycles and help prepare invoices when needed. Monitor outstanding receivables, identify overdue accounts, and assist with collections follow-up.
- Financial Reporting & Analysis: Prepare financial schedules, supporting documentation, and management reports. Assist with budget-to-actual reporting, job profitability analysis, and expense tracking. Provide data and insights during audits and internal reviews.
- Compliance & Process Improvement: Ensure compliance with internal controls, accounting policies, and industry standards. Support audit preparation and participate in external audits as required. Identify opportunities to streamline accounting processes and improve financial accuracy and efficiency.
- Systems & Tools Management: Maintain accurate data within accounting and project management systems (e.g., NetSuite, Workamajig, Deltek, Sage Intacct, Kantata/Mavenlink). Support system enhancements, data integrity initiatives, and workflow optimizations.
