We are looking for a compassionate, motivated and proactive Administration Assistant/Receptionist to be the first point of contact for residents, visitors and healthcare professionals, ensuring that everyone who walks through our doors receives a warm and efficient service. The Admin Assistant/Receptionist will support both Reception and Administration tasks including handling calls, dealing with general enquiries and supporting with a variety of different general office tasks. This role is key to helping our service run smoothly and ensuring everyone feels welcomed and supported. To do this well, the post-holder will bring a caring approach, professionalism, respect for confidentiality and a commitment to providing excellent customer service. This role is ideal for someone who genuinely cares about people and is confident interacting with a wide range of individuals.

Key Responsibilities:
- To welcome and direct visitors, family members, residents, professionals, stakeholders and contractors in person or on the telephone/email whilst providing a welcoming reception experience.
- To always focus on the customer experience, offering outstanding customer service including warmly welcoming people and providing refreshments.
- Making sure that all enquiries are dealt with professionally and effectively, ensuring that all information is redirected and dealt with accordingly.
- Handling incoming calls and emails professionally and confidently.
- Coordinating and facilitating site visits for potential residents and their families.
- Support the Business Administrator and other team members with any daily administration tasks.
- Ensure Reception and waiting areas are tidy, welcoming, and compliant with health and safety standards.
Your Knowledge and Expertise:
- Experience as a Receptionist, Administrator or in another Customer facing role.
- Confident in managing enquiries both by phone and in person, and comfortable engaging with a diverse range of callers and visitors.
- Must be competent and comfortable with general computer use and with IT systems specifically Microsoft Outlook, Word and Excel.
- Have excellent attention to detail, be highly organised and feel confident to be proactive and willing to adapt to the needs of a growing service.
- Have the ability to maintain confidentiality and handle sensitive information appropriately.
- Warm, empathetic and comfortable supporting residents and visitors during sensitive moments.
- Be flexible and cooperative whilst working collaboratively with all teams within the service being a key team player.
- Feel comfortable and have the ability to work independently for longer periods of time.
