The Purchasing team endeavours to source and develop mutually beneficial relationships with new suppliers to negotiate and procure goods, materials, and services, ensuring Insight can meet and exceed operational demand. The Purchasing team are responsible for supporting the management of all inventory and supply, ensuring Insight attains the best value for goods and services acquired, by achieving specific revenue and margin goals, and minimising inventory exposure through strategic supplier selection, tendering, and cost estimating.

The Special Bid & Deal Registration team takes overall ownership of vendor deal registration and special bid programmes. All activities are conducted within Insight's operational and financial processes and procedures, and are designed to maximise Insight's profitability, whilst maintaining the best possible client-facing commercials.

The Special Bid & Deal Registration Specialist administers all functional aspects of Special Bid Programmes and Vendor Deal Registration, facilitating the efficient administration of bids, bid reviews, and associated bid documentation.

As a Special Bid & Deal Registration Specialist you will get to:

  • Ensure bid requests are submitted from Sales in the correct format and quality check information provided.
  • Submit new Special Bid & Deal Registration requests using relevant vendor programs.
  • Request associated pricing from distribution for product and distribute to Sales.
  • Manage Special Bid & Deal Registration calendar to ensure notification of expiry is provided or renewal is automatically facilitated.
  • Responsible for the creation of bid related product codes (UPR's) within Insight systems, the amendment of existing bid UPR's.
  • Ensure the maintenance and accuracy of the customer specific UPR database.
  • Responsible for checking eligibility of any claims made against orders with bid agreements.
  • Responsible for the checking of Special Bid & Deal Registration rebate claims produced, verifying the accuracy of the claim, highlighting any invalid claims, and resolving issues arising.
  • Responsible for ensuring successful completion of monthly internal audits.
  • Collaborate internally and externally to ensure delivery of desired results in line with business objectives.

  • Experience providing administrative support, ideally within a sales, marketing, or commercial environment.
  • Working towards a recognised qualification.
  • High level of written and spoken English.
  • Fully conversant with Microsoft Office Suite (Outlook, Excel, and Word).
  • Strong ability to prioritise workloads and manage time effectively.
  • Ability to perform tasks quickly and accurately in a controlled environment.

Desirable:

  • Prior knowledge of working with Vendor Special Bid Programmes and Deal Registration.
  • Evidence of continuing professional development.
  • Good interpersonal and communication skills, with the ability to liaise with a wide variety of stakeholders.
  • Ability to develop friendly, positive, and supportive working relationships with both internal and external clients, delivering excellent service.
