Insight Investment is seeking a Records Management Coordinator to join the Data Management team in London on an interim basis. The Coordinator will ensure compliant, efficient, and consistent management of business records and data, adhering to FCA regulations, GDPR, internal retention schedules, and risk controls. They will serve as the main contact for records management across various functions. This role involves establishing best practices and educating staff on data management. It is ideal for detail-oriented professionals with experience in records management, data lifecycle, and governance within regulated financial services.
Responsibilities include:
- Capturing, classifying, and filing records in line with policies and regulations.
- Applying retention schedules and reviewing records periodically.
- Coordinating secure disposal of records post-retention unless legally on hold.
- Supporting the implementation of records and data retention policies.
- Promoting centralized records tools and secure destruction services.
- Ensuring compliance with UK regulations including FCA SYSC, GDPR, and MiFID II.
- Overseeing electronic communications retention and management.
- Responding to audits and compliance testing.
- Identifying gaps in records practices and collaborating on solutions.
- Acting as liaison between business teams and compliance/IT.
- Providing training on records management best practices.
- Encouraging regular reviews and disposal of outdated records.
Experience required:
- Experience in data or records management in financial services, preferably asset management or investment firms.
- Knowledge of UK regulatory frameworks like FCA SYSC, MiFID II, GDPR.
- Familiarity with electronic records systems (e.g., SharePoint, Diligent, iManage).
