We're looking for a proactive and customer-focused Assistant Facilities Manager to support the day-to-day operations of the prestigious Greenwich Estate. This is an exciting opportunity for someone with experience in residential property, Build to Rent (BTR), Private Rented Sector (PRS), or facilities management who enjoys working in a fast-paced, customer-facing environment. You'll play a vital role in ensuring residents receive outstanding service while helping to maintain a safe, compliant, and well-managed estate.

Working closely with the Facilities Manager, you'll be at the heart of estate operations, coordinating contractors, managing resident communications, supporting compliance activities, and helping deliver a first-class living environment.

What you'll be doing

  • Resident & Customer Experience
    • Act as the first point of contact for residents, leaseholders, visitors, and stakeholders.
    • Manage enquiries received via email, telephone, and the on-site office.
    • Resolve routine issues and escalate complex matters where appropriate.
    • Coordinate and issue resident communications relating to planned works and service updates.
    • Deliver exceptional customer service and build positive resident relationships.
  • Contractor & Supplier Management
    • Coordinate approved contractors and suppliers working across the estate.
    • Ensure contractors comply with health and safety requirements, permits to work, and safe systems of work.
    • Manage access arrangements, keys, RAMS, and attendance schedules.
    • Monitor performance and ensure works are completed safely, on time, and to the required standard.
    • Support supplier reviews, KPI monitoring, and performance meetings.
  • Estate Operations & Compliance
    • Assist with the management of reactive and planned maintenance activities.
    • Conduct regular estate inspections, identifying and resolving health and safety concerns.
    • Support incident reporting, audits, and compliance activities.
    • Help maintain safe, accessible, and welcoming communal areas.
    • Manage estate key systems, parking arrangements, and operational administration.
  • Financial & Administrative Support
    • Raise and manage purchase orders and support invoice processing.
    • Obtain quotations and ensure value for money from suppliers.
    • Maintain accurate records, reports, and compliance documentation.
    • Support service delivery reporting, KPIs, and internal audits.

What we're looking for

Essential

  • Experience within residential property, PRS, BTR, estate management, or facilities management.
  • Knowledge of the Building Safety Act 2022.
  • Excellent customer service and stakeholder management skills.
  • Experience working with contractors and suppliers.
  • Strong organisational skills with the ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • Good IT skills, including Microsoft Office, particularly Excel.

Desirable

  • Property or Facilities Management qualifications or experience.
  • Knowledge of Health & Safety legislation and best practice.
  • IOSH, NEBOSH, or equivalent Health & Safety qualification.
  • Experience using CAFM, helpdesk, or incident reporting systems.
  • Understanding of KPIs, SLAs, and service charge environments.
