Planning Administrator & Office Support Specialist Are you an organized and detail-oriented individual with a passion for supporting teams and ensuring smooth operations? We are looking for a Planning Administrator to provide vital administrative assistance to our clients planning department. Role Overview: As a Planning Administrator, you’ll be at the heart of the planning process, ensuring that everything runs smoothly and efficiently. Your administrative expertise will play a critical role in managing schedules, coordinating meetings, maintaining records, and assisting with planning documentation. The ideal candidate will have excellent communication skills, strong attention to detail, and a knack for multi-tasking. Responsibilities: * Manage and maintain planning schedules, travel arrangements, calendars, and appointments. * Answering and redirecting phone calls. * Taking messages and notes at meetings. * Welcoming visitors and managing office flow. * Keeping office management systems (e.g., Youmanage/InVentry) up-to-date. * Prepare and distribute agendas, minutes, and meeting materials. * Handle incoming/outgoing correspondence, including emails. * Generate reports and analyse data as required. * Ensure adherence to relevant regulations and company policies. * Maintain accurate filing systems (electronic and physical). * Gather and compile data for planning reports and presentations. * Process administrative paperwork such as purchase orders and invoices. * Track project timelines, milestones, and deadlines. * Provide general support to the planning team. Skills & Qualifications: * Proven administrative support experience, preferably in planning or project management. * Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). * Strong organizational, time management, and communication skills. * Exceptional attention to detail and accuracy. * Ability to work independently and collaboratively in a team. * Experience with project management and database software is a plus. * Excellent written and verbal communication skills. * Proficiency in data entry and management. Hours of work will be Monday to Thursday, 7:30am-4pm and 7:30am-12:30pm on Fridays!
