Leading Intraoperative Neuromonitoring Services company based in London is looking to appoint an enthusiastic and highly organised individual in a supporting role to the Operations department. The company has a dedicated team of specialists in neuromonitoring to provide a high standard of medical services for spinal, vascular, brain, and other surgeries to the NHS and private hospitals. About the Role

We are seeking a highly motivated and organised Operations Assistant to join our dynamic operations team. As a key member of our organisation, you will provide essential support and contribute to the smooth functioning of our operations department. The Operations Assistant will play a crucial role in coordinating and executing operational tasks, ensuring efficient processes, delivering exceptional customer service, and contributing to the overall success of inomed Neurocare.

To be successful in this role, you must be able to work as part of a small team, whilst independently and proactively completing tasks. Excellent organisation, efficient communication and IT skills, accuracy, and attention to detail are essential requirements for this role.

Duties include but are not limited to:

  • Organise medical device logistics for the clinical team, including coordinating servicing, maintenance, and repairs of medical devices.
  • Review and approve expenses, ensuring compliance in line with company policies and procedures.
  • Monitor office mailbox and provide exceptional customer service by promptly addressing inquiries, resolving issues, and assisting with customer needs.
  • Complete general office administration tasks such as completing forms, booking travel arrangements, booking services, and scheduling meeting rooms.
  • Assist with planning and coordinating marketing events such as trade shows and conferences, and manage the events diary to track key congresses and deadlines.
  • Liaise with external event organisers to coordinate logistics and requirements.
  • Assist in creating and updating marketing materials (brochures, flyers, presentations, digital content), manage social media channels, and contribute creative content to raise brand awareness.
  • Process Purchase Orders (PO), Sales Quotations, Sales Orders (SO), invoices and credit notes, ensuring accurate documentation and effective fulfilment of customer orders.
  • Serve as the main point of contact for customers, providing professional and courteous assistance.
  • Direct incoming inquiries or requests to the relevant team members or departments.
  • Maintain a deep understanding of our products, services, and policies to provide accurate and helpful information to customers.
  • Contribute to a positive and collaborative work environment, fostering teamwork and open communication.

Requirements for the Role:

  • Bachelor’s degree in Business, Marketing or a related field.
  • Prior experience in an operational role is required.
  • Proven experience in a customer service role, preferably in a fast-paced environment.
  • Excellent communication skills, both verbal and written, with a strong focus on delivering exceptional customer service.
  • Familiarity with operational tools and software systems is an advantage.
  • Excellent organisational and time management skills, with the ability to prioritise tasks effectively.
  • Proactive problem-solving skills and the ability to adapt to changing priorities.
  • Proven ability to demonstrate good judgment, prioritise tasks, and make decisions under pressure.
  • Good written and oral communications and strong interpersonal skills to deal with individuals at various levels, and on potentially sensitive matters.
  • Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), experience with design tools (e.g., Canva, Adobe Creative Suite) and social media platforms is desirable.
  • Ability to work independently as well as collaboratively within a team.
  • Strong attention to detail, organisational, administrative, and planning skills.
  • Strong work ethic and a willingness to take on additional responsibilities as required.
  • Comfortable liaising with internal teams and external stakeholders.
  • Interest in healthcare, medical technology, or scientific communications is a plus.
