Location: Luton

Hours: 35 hours per week, Monday to Friday

The Procurement Administrator will provide a high standard of service regarding any external supplier queries and internal property manager queries, providing appropriate responses and support. They will act as the main point of contact for all Procurement and Supply Chain inboxes. This role reports to the Procurement Manager and works within a team of up to 10 colleagues.

Main Responsibilities:
  • Act as the first point of engagement for the New Supplier Request (NSR) process, triaging all enquiries to the appropriate teams and responding to queries in a timely manner.
  • Monitor and help out with the other Procurement mailboxes when the need arises.
  • Maintain the incoming mailbox to ensure all requests are responded to and track and monitor that subsequent actions are completed.
  • Liaise with contractors/suppliers over the phone or email as part of the PQQ/onboarding process.
  • Set up contractors/suppliers onto P2P and any other internal systems.
  • Amend contractor/supplier records on all internal systems.
  • Extract key data spend reports for Category Buyers from various systems including PowerBI.
  • Source existing contractors and non-approved contractors for Ops from the SafeContractor portal.
  • Liaise with SafeContractor, our partner, regarding any onboarding/accreditation queries.
  • Create and send response letters on behalf of the Procurement Department.
  • Task manage escalated requests using appropriate communication methods.
  • Take meeting minutes when required.
  • Attend weekly team meetings.
Skills and Experience:
  • Demonstrable experience of delivering an exceptional service to internal stakeholders and external suppliers.
  • Confident, articulate communicator – both orally and in writing; able to build relationships with all types of internal customers, key stakeholders and suppliers with a resolution-focused mentality, creative in your approach.
  • Able to work with autonomy and as part of a wider team.
  • Efficient in maintaining administration and record keeping electronically.
  • Demonstrable ability to deal with problems and challenges effectively.
  • Ability to work under pressure deadlines, able to prioritise and manage time effectively.
  • Excellent IT skills, social media awareness and up to date with new technology.
