Main Purpose of Job
- Provide a high standard level of service regarding any external supplier queries and internal property manager queries, providing appropriate responses and support.
- Act as main point of contact for all Procurement and Supply Chain inboxes.
- Act as main point of contact for all accreditation queries.
Main Responsibilities
- Act as the first point of engagement for the Supplier Accreditation inbox and Supplier Performance inbox (queries), triaging all enquiries to the appropriate teams and responding to queries in a timely manner.
- Monitor and help out with the other Procurement mailboxes when the need arises (including New Supplier request process).
- Maintain the incoming mailbox to ensure all requests are responded to and tracking and monitoring that subsequent actions are completed.
- Liaise with suppliers over the phone or email as part of the accreditation process.
- Set up suppliers onto P2P and any other internal systems.
- Amend supplier records on all internal systems.
- Extract key data spend reports for Category Buyers from various systems.
- Source existing contractors and non-approved contractors for Ops from the external accreditation partner, including, but not limited to, validation of their accreditation.
- Create and send response letters on behalf of the Procurement Department.
- Task manage escalated requests using appropriate communication methods.
- Take meeting minutes when required.
- Attend weekly team meetings.
- Support monthly reporting for MI pack.
Skills and Experience
- Demonstrable experience of delivering an exceptional service to internal stakeholders and external suppliers.
- Confident, articulate communicator – both orally and in writing; able to build relationships with all types of internal customers, key stakeholders and suppliers with a resolution focused mentality, creative in your approach.
- Able to work with autonomy and as part of a wider team.
- Competent in data management, data manipulation and record keeping (digitally).
- Demonstrable ability dealing with problems and challenges effectively.
- Ability to prioritise and manage time effectively.
- Efficient in all MS Office applications, specifically Excel (intermediate) and Outlook.
- Social-media awareness and up to date with new technology.
- Desirable: Understanding of PowerBI and SharePoint.
