Job Role: Professional Services Administrator

Location: New Milton

Hours: 35 hours per week, Monday to Friday

As a Professional Services Administrator, you will play an important role in supporting the governance and administration of residential management companies. Working as part of our Professional Services team, you will help maintain company records, prepare statutory documentation, support communications with directors and members, and ensure important governance and compliance activities are delivered accurately and on time.

Main Responsibilities

  • Support the effective operation of the Professional Services team based in New Milton.
  • Manage a range of company secretarial and governance administration activities across a portfolio of client companies.
  • Produce and issue formal correspondence, notices and statutory documentation.
  • Prepare and distribute membership certificates and maintain accurate statutory and company records.
  • Ensure key governance and compliance deadlines are monitored and met.
  • Organise and prioritise workload to ensure service standards and deadlines are consistently achieved.
  • Liaise with internal departments, company directors and external stakeholders to resolve queries and support service delivery.
  • Support the preparation and distribution of company communications as required.
  • Identify opportunities to improve processes, increase efficiency and enhance service delivery.
  • Support digital improvements, automation initiatives and continuous improvement activities.
  • Develop and maintain an understanding of company secretarial, governance and compliance requirements.
  • Contribute positively to the achievement of team objectives and service standards.

Skills and Experience

  • Previous experience within an administrative role is essential.
  • Experience within governance, compliance, legal support, financial services, property management, company secretarial or other professional office environments would be advantageous.
  • Experience managing workloads and prioritising tasks to meet deadlines and service levels.
  • Strong organisational skills and excellent attention to detail.
  • Confident written and verbal communication skills.
  • Ability to build and maintain effective working relationships with colleagues and stakeholders.
  • A professional and customer-focused approach.
  • Strong IT skills, including Microsoft Excel, Word and Outlook.
  • Experience working with records, documentation or compliance processes would be beneficial.
