Main purpose of the role:
This role will be responsible for covering administrative duties across numerous aspects of Fire Safety, ensuring all internal data systems are kept up to date. An ability to manage your own workload through excellent time management and administrative skills is required, whilst maintaining a high level of data accuracy. You will report to the Senior Statutory Compliance Administrator.
Main responsibilities:
- Provide a proactive, comprehensive, and professional administrative coordination support for the Building Safety Team.
- Liaise with internal and external stakeholders to obtain updates on various buildings safety matters and concerns.
- Verify the accuracy of the data and reports received from various stakeholders.
- Update a variety of building safety Excel spreadsheets following any updates received.
- Maintain and update both internal and external data system with specific building safety updates where applicable.
- Record data accurately and keep it updated frequently in either the internal or external data system.
- Create ad-hoc reports from either internal or external data systems as needed to enable effective data analysis and to update various excel spreadsheets for weekly client reporting.
Knowledge, skills and experience:
- Exceptional written and verbal communication skills, with strong ability to engage and manage stakeholders.
- Experience of inputting data into systems and maintaining high data integrity.
- Ability to analyse basic data and produce appropriate reporting.
- Competent Microsoft Office user, with strong Excel skills, and practical experience using database platforms.
- Efficient in managing administrative tasks and maintaining electronic records.
- Excellent IT skills, social-media awareness and up to date with new technology.
- Ability to work under pressure, resilient, and able to prioritise and manage time effectively.
- At least one years’ experience working in an admin role.
- An understanding of Property Management sector with familiarisation of legal documentation.
