Responsibilities

  • Assist in the planning, execution, and monitoring of projects, ensuring they are completed on time and within scope.
  • Process customer information regularly and assist with CRM related projects.
  • Provide administrative assistance to project teams, including scheduling meetings, managing documentation, and handling correspondence.
  • Understand Sales/Opportunity Management processes and policies; apply sales processes, particularly complex approval processes.
  • Act as a liaison between the company and clients, providing updates on project progress and addressing client inquiries.
  • Generate and distribute project status reports and updates to internal teams and clients, including timely reports and dashboards to stakeholders.
  • Evaluate project risks and develop risk mitigation strategies to ensure successful outcomes; ensure audit actions are executed on priority with correct controls and no repeat fallouts.
  • Maintain comprehensive project documentation such as SP reports, control approvals, working with invoicing team, including project plans, budgets, and deliverables.
  • Facilitate project meetings, record minutes, and follow up on action items.
  • Partner with GDS Ops BMC team to deliver engaging, relevant, and timely WES program/initiative content across channels.
  • Maintain ongoing relationships with current partners and offer new ways to grow the partnership; identify opportunities for process improvement and optimization in project coordination and administration.
  • Develop and execute marketing strategies that align with company objectives, including email marketing campaigns across event categories.
  • Plan marketing and promotions in coordination with digital and marketing teams.
  • Develop and implement lead generation strategies to attract clients and top talent; manage media partner campaigns and explore new partnership avenues.
  • Ensure consistent branding and messaging across all marketing materials and platforms.
  • Monitor and analyze marketing performance metrics to measure effectiveness and make data-driven decisions.
  • Conduct competitor analysis to identify trends and opportunities in the resourcing market.
  • Collaborate with the sales team to nurture client relationships and gather feedback for marketing improvement.
  • Manage the marketing budget effectively.
  • Oversee technical projects from inception to completion, ensuring alignment with client objectives, budget, and timelines.
  • Design technical solutions to address client requirements, ensuring feasibility, efficiency, and scalability.
  • Collaborate with internal teams, including software developers and engineers, to deliver integrated technical solutions.
  • Continuously improve production processes for enhanced efficiency, cost‑effectiveness, and quality.
  • Ensure timely pay‑outs to contracted partners, record retention, and process documentation.
  • Monitor production processes, identify and resolve issues to minimize downtime and production delays.
  • Manage resources, including personnel and equipment, to meet production demands and project goals.
  • Collaborate with suppliers to ensure timely delivery of materials and components required for production.
  • Analyze production data to identify trends, areas for improvement, and opportunities for cost reduction.
  • Work with the RPA team to automate payment/audit processes and reduce or eliminate manual interface.

Qualifications

  • Proven experience in project coordination or administrative roles, preferably in IT or aerospace.
  • Strong organizational, time management, and multitasking skills.
  • Effective communication and interpersonal abilities.
  • Proficiency in project management software is advantageous.
  • Bachelor’s degree in business management, administration, project management, or a related field.
