Summary of Job Role

We are looking for a highly organised and proactive Executive Assistant to support our CEO and two Managing Directors (MDs) in our dynamic workplace. This pivotal role blends executive support with strategic administrative responsibilities in a fast-paced environment.

As the Executive Assistant, you will act as a key liaison between senior executives and internal/external stakeholders, ensuring seamless communication and efficient operations by maintaining utmost discretion. You will manage executive calendars, coordinate meetings, prepare reports and presentations, and oversee workflow management.

Your exceptional attention to detail, time management, and interpersonal skills will be essential in driving efficiency and supporting key initiatives. This role offers a unique opportunity to work closely with senior leadership, contributing to our success while gaining valuable exposure to high-level business operations.

Key Tasks & Responsibilities

Executive Support & Diary Management

  • Proactively manage complex calendars, scheduling meetings and ensuring seamless workflow
  • Handle correspondence, screening and prioritizing emails and calls
  • Plan, coordinate, and prepare for key meetings, including agendas, briefing documents, and action follow-ups
  • Manage travel arrangements, accommodations, and itineraries for the CEO & MDs

Project & Administrative Support

  • Oversee the governance papers process and track executive approvals
  • Prepare reports, presentations, and business documents for key initiatives
  • Ensure efficient information flow between the executives and teams
  • Assist with event planning and coordination of internal/external engagements

Stakeholder & Workflow Management

  • Act as the primary point of contact for internal and external stakeholders
  • Work closely with senior leadership to support strategic projects and business operations
  • Ensure confidentiality while handling executive communications and critical company matters

Requirements

  • 2-3 years proven experience as an Executive Assistant or in a similar administrative role, preferably in a dynamic, high impact working environment
  • Exceptional organizational skills with the ability to manage multiple priorities efficiently
  • Strong written and verbal communication skills, with an emphasis on professionalism
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools
  • Ability to work independently as well as part of a team in a fast-paced environment
  • Discretion and confidentiality in handling sensitive information is essential
  • A proactive and solution-oriented mindset with a strong attention to detail
  • Collaborative mindset with a commitment to delivering measurable impact
