The Senior Editorial Assistant is responsible for using their editorial and process-related knowledge to efficiently develop materials that effectively and clearly communicate medical and scientific information. Senior Editorial Assistants at AMC Inizio will provide editorial support for a wide range of content and for multiple audiences. Senior Editorial Assistants generally provide editorial support for either publications-related scientific medical content (such as publication plans, clinical study manuscripts, and congress-associated materials), or medical affairs or promotional content (such as meetings reports, slide sets, training materials, or booth materials). Some roles will involve both types of content.
Working closely with account team colleagues and the wider editorial support team (from Editorial Assistants to Editorial Service Managers), the Senior Editorial Assistant will organise, take responsibility for, and deliver all relevant stages of deliverables with editorial content to enable our clients to meet their desired objectives. Please note: this role can be remote, though there will be in-person meetings & events which would require attendance. This can be within our Macclesfield, Manchester or London sites, depending on your location. You will have previous MedComms agency experience within an editorial team.
The Senior Editorial Assistant will work in a multifunctional account team setting, also collaborating with other colleagues across the business (e.g. creative and production studio, medical information teams and market research teams) to deliver high-quality outputs that support programme objectives. They will be expected to work with individual accountability, and to provide coaching and transfer of knowledge to colleagues within the editorial support team. The Senior Editorial Assistant will normally be responsible for editorial support for at least one client account and related projects. The post holder will report directly to the Editorial Specialist Lead or Editorial Services Manager, and may have full line management responsibilities for Editorial Assistants.
Key Areas of Responsibility- EDITORIAL SUPPORT: To collaborate with the account teams to deliver excellent medical education and communications copy, and to ensure outputs are true to the goals and expectations of all stakeholders. Outputs may include, but are not limited to: abstracts, posters, manuscripts, scientific exhibit materials, advisory board reports, oral presentations, pharmaceutical training materials, eLearning content, video scripts, and other marketing and communications outputs.
- To take, interpret and implement project briefs from writers, including preparing briefs for Studio.
- To develop and implement project schedules as requested, and to maintain awareness of status of all relevant ongoing projects.
- To provide a full range of editorial support services for all project types as needed. This may include, but is not limited to: editing scientific content, non-technical writing, styling manuscripts to journal or house style, proof checking, reference searching and ordering, and managing copyright permission requests.
- To undertake specific non-technical writing projects as requested, e.g. biographies and minutes from calls.
- To undertake literature or internet searches, liaising with SHRG as needed for more complex searches.
- To support the delivery of scientific meetings and associated materials, including pre-meeting and on-site activities, preparation of content, liaison with pharmaceutical industry staff, faculty, speakers and other service/logistics providers, where required.
- To provide excellent quality control over all copy outputs and production, including the work of line reports, where appropriate.
- To maintain a high-level understanding of Good Publication Practice (GPP) and Healthcare Professional Compliance. This will include ensuring compliance for other less experienced team members.
- To suggest routine amendments to process and practice in light of any changes to compliance guidelines, laws, regulations and standard operating procedures. This also includes sharing intelligence and insights where appropriate.
- To promote the value of systematic reflective practice that enables analysis and evaluation of copy against project purpose and goals, and expectations of all stakeholders.
- To develop and implement best editorial practice within the account team.
- COLLEAGUE PARTNERSHIP: To champion a partnership mind-set, ensuring excellence not only in outputs but in the operational management and execution of programmes. This includes ensuring that projects are delivered on time and to budget ensuring commercial success.
- To communicate professionally and efficiently with external clients and authors, as required.
- To support business development and pitch activities, where required.
- To actively collaborate with editorial colleagues in other account teams to support efficient resource management and sharing of best practice.
- OPERATIONS & HR: To manage creative materials through design and production to final-output stage, including liaison with and briefing of the creative teams, and ensuring that quality standards are met, and that deadlines are adhered to.
- To support with the briefing and workload of contracted editorial support workers, ensuring work is delivered to a high standard and on schedule.
- To assist with recruitment and selection processes as requested.
- To support effective process and information flow amongst the editorial team and between other functions.
- To oversee and adhere to resource planning for own work and oversee line reports, where appropriate.
- To ensure company processes are deployed effectively and consistently, ensuring that team members adhere to best practice.
- To attend and provide valuable contributions at internal meetings.
- To champion operational best practice across the editorial support team.
- To play an active role in supporting or leading new internal initiatives as requested (e.g. unit or team events, new business activity, training).
- To manage, inspire, guide, and motivate direct reports to ensure that they perform at their highest potential.
- To support the training and development of more junior colleagues, with clear talent and training plans that allow individuals to develop professionally and excel in the delivery of their objectives.
- To ensure clear and proactive communication within the editorial support team and own account teams.
- FINANCE: To achieve personal utilisation targets, demonstrating a clear understanding of the commercial impact of effective time management for self and others.
- To be responsible for timesheet completion and utilisation for self and direct reports, where appropriate.
- To be responsible for financial requirements for both self and team, including timely processing of expenses.
- To input into scope requirements for budget estimates for relevant projects.
