Salary: £23,809.76 per annum pro rata (Living Wage Employer)

Hours of work: 3 days (22.5 hours per week) working hours are 8:45am- 4:45pm

Job Purpose

This post is pivotal to ensuring the smooth, efficient, and professional running of iSE and the Women’s Enterprise & Community Hub in Sparkbrook, East Birmingham. You will support project delivery and day-to-day operations while helping foster a welcoming, inclusive, and dynamic environment. You will play a key role in setting the tone for the organisation—helping to shape a culture of professionalism, community, and respect through the way you engage with colleagues, partners, and visitors. You will be a first point of contact for many and are expected to lead by example, modelling iSE’s values in your daily work.

Key Responsibilities

  • Administrative Support
    • Provide project administration support across iSE client and stakeholder programmes.
    • Support the Social Economy Lead and Office Management in maintaining accurate and well-organised information systems.
    • Assist in the preparation and submission of monthly reports, data entry, and maintenance of monitoring systems.
    • Assist with preparing materials for meetings, training, and events, including reports, training packs, and presentations.
    • Maintain accurate records and filing systems, both paper and electronic.
    • Monitor and respond to emails, manage incoming/outgoing post, and maintain efficient communication processes.
    • Schedule meetings, manage calendars, and support with diary coordination across the team.
  • Reception and Hub Coordination
    • Act as the first point of contact at reception—welcoming all visitors with professionalism and warmth.
    • Oversee the daily operation of the Women’s Enterprise and Community Hub, including meeting room bookings, preparation, refreshments, and general building presentation.
    • Support tenant and visitor needs, ensuring a professional and welcoming experience.
    • Maintain the reception and hot-desking areas, ensuring cleanliness, order, and a positive atmosphere.
    • Occasionally, some weekend work to cover a room booking may be required.
    • Manage the distribution of post for virtual tenants and liaise with them as necessary.
    • Monitor and manage office supplies and coordinate with Finance to place orders.
  • Culture, Relationships & Representation
    • Foster a positive, respectful, and inclusive working environment—leading by example in your conduct and communication.
    • Promote iSE’s mission and values in all interactions, both internally and externally.
    • Support the Business Advisors and Community Outreach Champions with stakeholder relationships, client engagement planning, and social media tasks.
    • Help build and maintain effective relationships with a diverse range of partners and community stakeholders.
  • General Duties
    • Attend internal team meetings and contribute proactively.
    • Maintain professional standards, self-motivation, and a commitment to personal development.
    • Stay up to date with relevant training, particularly in relation to health and safety, GDPR, and safeguarding.
    • Adhere to iSE’s Health & Safety Policy and take responsibility for maintaining a safe working environment.
    • Be flexible and responsive to the changing needs of a growing social enterprise.
    • Provide cover if job share is unavailable due to sickness, or annual leave.
