The Role: This role supports regional materials ordering and stock movements, ensuring materials are available when needed and records are maintained accurately. Working closely with departmental colleagues and wider IGL teams, you will follow company processes and standards to deliver tasks efficiently, professionally, and on time while supporting Infrastructure Gateway Ltd.’s commitment to operational excellence.
Key Responsibilities:
- Handle incoming calls, messages, and email queries, including finance-related issues and escalations.
- Maintain accurate data entry and records within company systems (Infra Net).
- Perform general administrative tasks such as scanning, filing, photocopying, and document management.
- Support procurement activities by raising purchase orders, processing delivery notes, and coordinating with suppliers and subcontractors.
- Monitor and manage stock levels, material allocations, and consignment orders in collaboration with the Storeman and Stock Controller.
- Coordinate the ordering, delivery, recovery, and off-hiring of materials, plant, equipment, and aggregates to support project delivery.
- Liaise with internal teams, suppliers, contractors, and operational staff to resolve day-to-day issues and ensure work readiness.
- Attend planning, handover, and procurement meetings, providing operational and administrative support.
- Maintain trackers, calendars, and project records in real time to ensure accurate reporting and cost control.
- Prioritize workload effectively to meet project deadlines and operational requirements.
- Ensure compliance with company procedures, health & safety standards, and reporting requirements.
- Escalate risks, issues, discrepancies, or process violations promptly to management to support efficient project delivery and continuous improvement.

- Experience in procurement, materials ordering, stock control, and logistics administration.
- Strong organizational, communication, and stakeholder management skills with the ability to meet deadlines.
- Knowledge of purchase order processing, inventory management, and logistics coordination.
- Proficient in maintaining accurate records, trackers, and Microsoft Office applications.
- Strong attention to detail, problem-solving ability, and commercial awareness.
- Proactive team player with the ability to prioritize workloads and perform effectively in a fast-paced environment.
