About the role
ISF delivers a global programme of in-person and online events, including our flagship Annual World Congress, which attracts information security professionals from around the world. Our Events Team plans and delivers a wide range of Member events, and we are looking for an enthusiastic Events Coordinator to join the team based in our London office.
The Events Coordinator will be an integral part of the Events Team, contributing to the delivery of high-profile global and regional events for a membership-based organisation. Working closely with internal stakeholders and external suppliers, the role supports the delivery of a professional, high-quality experience for ISF Members.
Key responsibilities
- Event logistics
- Provide logistical support for Member events, including managing event collateral, merchandise, and name badge creation.
- Support the wider ISF team in sourcing and booking venues and suppliers, including researching entertainment, restaurants, and transport, ensuring strong value for money and alignment with budget requirements.
- Event planning, technology and reporting
- Assist with creating and maintaining event pages on ISF Live/ISF website, including updating agendas, loading presentations, and updating attendee FAQs.
- Develop proficiency in the ISF event platform (Swoogo) to support event setup, including loading events and updating delegate communications.
- Manage the event feedback process, including creating and distributing member surveys and collaborating with the ISF team to improve response rates and engagement.
- Analyse event attendance data and feedback to generate insights, producing chapter event attendance reports and supporting the development of quarterly summaries and presentations.
- Manage the end-to-end attendance certificate process, liaising with Operations, and dealing with ad hoc member requests.
- Support the use of event management technologies, such as Slido and Swoogo, managing licenses and renewal process with Events Director.
- Arrange event-specific shipping and courier services, including requesting shipping order forms and coordinating with the Office Manager.
- Event delivery and onsite support
- Provide onsite support for UK Chapter events, shadowing the Chapter Event Manager and assisting with onsite delivery, including delegate, speaker and sponsor management, catering coordination and other venue logistics.
- Provide onsite support at the ISF Annual World Congress, managing the Chapter dinners, liaising with Chapter agents and local DMCs, and supporting the delivery of the social programme (Networking Evening and Gala Dinner) to ensure a seamless and high-quality delegate experience.
- Support issue resolution during live online streaming (Chapter and Congress), responding to delegate queries, escalating technical issues to onsite teams, and adapting quickly to changing priorities.
- Provide onsite support at other regional Chapter events, as required, working with venue staff, ISF team and Chapter Agents to deliver a first-class delegate experience.
- Stakeholder and team support
- Coordinate with internal stakeholders on event attendance, presentations, and collateral, ensuring timely delivery and adherence to brief.
- Assist with creating ISF presentations for event meetings. Manage the update of Chapter rolling deck, liaising with Design and Operations, and News from the ISF back-up slides, and other standard presentation material.
- Support the Events Team with general administrative tasks, including updating templates and guidance, proofreading, and process checks.
- Information security
- Maintain the security of ISF Information assets, as directed by the Information Security Policy, associated policies and the security education, training, and awareness programme.
About you
You are highly organised and process-driven, with the ability to work autonomously while effectively multitasking and prioritising in a fast-paced environment. You are resilient, positive, and proactive, with a strong problem-solving mindset and the ability to think strategically. You are an energetic and collaborative team player with strong interpersonal skills, able to always remain professional.
Essential requirements and skills
- 1–2 years’ experience in an events coordination role
- Excellent organisational skills
- Strong verbal and written communication skills
- Meticulous attention to detail with a commitment to accuracy
Desirable requirements and skills
- Competence in Microsoft Office Suite (Excel, PowerPoint, Word)
- Familiarity with event management or CRM systems
- Experience supporting in-person, virtual, or hybrid events
- Basic data reporting or survey analysis experience
- Interest in the events or professional services sector
