The predicted salary is between 30000 - 42000 £ per year.
This position will be based out of our 5HP Victoria office. The Events Executive will play a key role in supporting the planning, coordination, and execution of Informa’s internal corporate events, ensuring they are delivered to the highest standards. This position involves working closely with internal teams, external vendors, and stakeholders to manage event logistics, budgets, and operations. The Events Executive will contribute to the success of Informa’s corporate events by delivering exceptional experiences for colleagues and external attendees. This role is ideal for a highly organised and detail-oriented individual with a passion for events and a commitment to excellence.
Event Planning and Coordination
- Assist in the planning and execution of internal and external events for senior stakeholders.
- Coordinate event logistics, including venue selection, catering, transportation, and audiovisual requirements.
- Work closely with internal teams to ensure all event requirements are met, including logistics and operations.
- Maintain detailed project plans and timelines to ensure events are delivered on schedule and within budget.
Vendor and Stakeholder Management
- Liaise with external vendors, including venues, suppliers, and contractors, to ensure high-quality service delivery.
- Negotiate contracts and agreements with vendors to secure competitive rates and value-added services.
- Build and maintain strong relationships with event stakeholders, including senior leadership teams, EAs, and attendees.
On-Site Event Support
- Provide on-site support during events, ensuring smooth operations and addressing any last-minute issues.
- Coordinate with the event team to ensure all roles and responsibilities are clearly defined and executed.
- Act as a point of contact for attendees during events, providing assistance and resolving queries.
Budget Management
- Assist in managing event budgets, tracking expenses, and ensuring cost efficiencies.
- Prepare post-event financial reports and provide insights to inform future event planning.
Data Management and Reporting
- Maintain accurate records of event data, including attendee registrations and sponsor agreements.
- Prepare regular reports on event performance, including attendance figures, feedback, and financial outcomes.
- Use data insights to identify opportunities for improving event operations and attendee experiences.
Any adhoc activities as required. Due to the nature of the role, sometimes working outside usual '9-5' hours due to events being outside of these hours will be required.
Qualifications and Skills
- Proven experience in event planning, coordination, or a related field, with a strong track record of success in a similar role.
- Excellent organisational and multitasking skills, with the ability to manage multiple priorities effectively.
- Strong communication and interpersonal skills, with the ability to build relationships with vendors, stakeholders, and attendees.
- Proficiency in event management systems and tools.
- Creative problem-solving skills, with the ability to address issues promptly and effectively.
