Key Roles & Responsibilities
- Administration & Operations Management: Overseeing daily administrative functions at site offices, managing facilities, utilities, and general workflows.
- Documentation & Record Keeping: Maintaining and organizing all project-related documents, including contracts, permits, licenses, vendor files, reports, and drawings.
- Compliance & Licensing: Managing applications, renewals, and compliance matters with relevant authorities (e.g., MOM, BCA, SCDF), including certifications like ISO and safety standards.
- Procurement & Financial Support: Supervising site procurement, managing petty cash, tracking project costs, checking invoices, processing purchase orders, and assisting with budget reports and cost control.
- Human Resources Support: Assisting with recruitment, onboarding, staff deployment, payroll administration, attendance tracking, and managing employee records and welfare.
- Coordination & Communication: Acting as a primary liaison between site teams, head office, clients, vendors, and subcontractors, and preparing meeting minutes.
- Process Improvement: Analyzing existing processes and developing more effective or efficient administrative strategies and systems.
Requirements
- Possess at least a Bachelor Level Degree in any Field
- Minimum 3 years of relevant experience in a managerial role, preferably in retail property or mall operations management
- Experience in Property/Facilities Management, and MCST Management will be an added advantage
- Good knowledge of building systems (i.e., electrical, ACMV, mechanical).
- Familiarity with statutory and regulatory requirements, including authority submissions.
- NEA Environmental Control Office certification is preferred
- Excellent leadership, communication and interpersonal skills
- Strong organizational and problem-solving abilities
- Proactive and service-oriented with a customer-first mindset
- Proficiency in Microsoft Office Suite
- Ability to manage multiple priorities, meet deadlines and perform effectively under pressure
