HR & Facilities Lead

ABOUT THE COMPANY Established in 1993, Influential is a boutique systems integrator, designing and delivering high-quality technical, team augmentation, training and software solutions to 200+ global clients, including local and international businesses as well as central government, local councils, the health sector, universities and colleges.
JOB PURPOSE To take ownership of the day-to-day HR function and the smooth running of our Maidstone office.
This is a standalone, hands-on role covering the full employee lifecycle alongside office and facilities management.
It suits an HR professional who is working towards, or has achieved, a CIPD Level 3 or Level 5 qualification, is confident working independently, enjoys variety, and wants to own both people and workplace matters end to end.
You will be the first point of contact for employees, managers and external providers on all HR, office and facilities queries.
KEY RESPONSIBILITIES Human Resources
- Own and maintain the HR system (Bamboo HR) as the master employee record — personal details, documents, annual leave, sickness and the recruitment pipeline — keeping data accurate and compliant.
- Manage the full new-starter process end to end: offers, contracts, right-to-work checks, system set-up, benefits enrolment and induction.
- Run recruitment end to end: drafting and posting adverts, coordinating interviews, managing the candidate pipeline and preparing offer documentation.
- Manage the leaver process, including resignations, acceptance letters, final pay coordination, reference requests and exit interviews.
- Administer annual leave, sickness absence (including long-term and persistent absence), family leave and other leave types.
- Manage probation reviews, contract variations, flexible working requests and performance review processes.
- Handle employee relations matters including disciplinary and grievance processes, supporting managers and maintaining accurate documentation.
- Work closely with the Senior Leadership Team, contributing to workforce and people planning and providing HR input to wider business decisions.
- Work with the Financial Controller, providing accurate employee information to support timely payroll processing.
- Complete right-to-work checks and maintain compliance.
- Maintain HR policies and ensure compliance with current employment legislation and data protection (GDPR) requirements.
- Coordinate employee benefits, engagement initiatives and internal communications.
- Office & Facilities
- Act as the key point of contact for day-to-day office and facilities queries.
- Manage relationships with the landlord/managing agent and external service providers, ensuring building compliance is maintained.
- Coordinate office maintenance, repairs and service contracts (e. g. water cooler, coffee machine, cleaners, sanitary bins).
- Manage stock, ordering and supplier accounts, and process/approve related invoices.
- Own health & safety administration and record-keeping, including first aid provision.
- Manage key-holder arrangements and office emergency procedures.
- Coordinate meeting room bookings, refreshments and staff events.
PERSON SPECIFICATION Qualifications
- CIPD Level 3 (or working towards) — desirable; CIPD Level 5 or working towards — desirable.
- Commitment to ongoing CPD and further HR qualification.
Experience
- Demonstrable experience in a standalone or generalist HR role covering the full employee lifecycle — essential.
- Working knowledge of UK employment law and HR best practice — essential.
- Experience with an HR information system (Bamboo HR or similar) — desirable.
- Experience of office management, facilities or supplier coordination — desirable.
