THE ROLE
The Junior Executive Assistant provides day to day administrative, organisational, and operational support to the Executive Assistant and wider Executive Team. This role ensures smooth coordination of inboxes, calendars, travel logistics, documentation, and content support. It is ideal for someone who is highly organised, proactive, and eager to grow within a fast‑moving, high performance environment.
RESPONSIBILITIES
- Email & Communication Support
- Manage shared inboxes, including tagging, filing, and flagging items needing senior review.
- Draft simple replies for EA review.
- Monitor LinkedIn messages for simple actions and follow‑ups.
- Coordinate LinkedIn connection requests from events or research activity.
- Calendar & Meeting Logistics
- Perform basic calendar scheduling and internal meeting bookings.
- Organise room and location bookings.
- Coordinate simple recurring meetings (e.g., internal syncs).
- Keep the CEO meeting tracker up‑to‑date and accurate.
- Prepare weekly “calendar health checks” (clashes, overbookings, unclear agendas).
- Support EA in preparing agendas or materials for recurring meetings.
- Travel Coordination (Entry‑Level Tasks)
- Gather travel options (flights, hotels, journeys) for approval.
- Complete standard travel booking forms.
- Provide administrative support for visas, ESTA, Global Entry.
- Maintain leader travel profiles and required documents (passport expiry, loyalty numbers).
- Manage receipts and documentation related to business travel.
- Documentation, Transcription & Research
- Support EA with transcription clean‑up and summary drafting.
- Maintain shared folders for transcripts, PPTs, and research outputs.
- Prepare simple briefing sheets (meeting purpose, attendees, context).
- Support updates to templates and SOP‑aligned documentation.
- Administrative Operations
- Prepare expense reports and upload receipts.
- Upload relevant documents and information into HubSpot records.
- Proofread simple documents for clarity and formatting.
- Conduct light research tasks when required.
- Perform basic PowerPoint formatting (not strategic content creation).
- Content & Media Support
- Carry out basic video trimming or simple edits.
- Support newsletter preparation by formatting inputs and gathering contributors’ materials.
- Coordination & Support Tasks
- Support podcast scheduling and administrative activities.
- Act as liaison for transactional tasks with vendors, book suppliers, travel providers, etc.
- Coordinate simple logistics such as book orders or illustration work.
- Support the Executive Assistant with miscellaneous and ad‑hoc tasks as needed.
