About Our Opportunity
The Facilities Contracts Co-ordinator will co-ordinate and administer facilities and interface areas site contracts. They will also manage the day to day running of the facilities asset service request system, ensuring proper flow of site procedures and supports the site management team by carrying out common office duties.
Key Accountabilities
- Plan and organise all INEOS vehicle inspections and repairs whilst maintain all vehicle records.
- Maintain the work history data in the amenities management and maintenance management systems (Maximo).
- Monitor the Maximo system; to ensure contract scopes are delivered as per legal and asset demand.
- Appraise service delivery during contract reviews, informing suppliers of any delivery issues and/or improvements, and allowing the Contract Owner to evaluate contract performance.
- Ensure all cost control processes are followed for all requested contract work to deliver a cost effective service prior to work commencing. Reviewing existing contracts and spotting any anomalies associated to avoid contract amendments later on in the year.
- Evaluate, authorise and receipt service provider invoices, to allow payment. Assess and challenge disputed invoices with service providers to ensure contract terms and conditions are achieved.
- Develop and recommend changes to service delivery for contracts.
- Maintain licence check data base and ensure all drivers are logged and compliant.
- Update MID insurance data base as required.
- Update and design team’s share point.
About You
Required:
- Must have a full UK Driving Licence
- Highly organised with the ability to work under pressure
- Be proficient in computer systems
- Basic knowledge of facilities and building management
- Strong attention to detail
- Ability to handle confidential information
- Proficiency with Microsoft Office e.g. Word, PowerPoint, SharePoint etc.
- Good time management and communication skills
Desired:
- Knowledge of UK Transport Legislation
- An understanding of maintenance workflow process
- Understanding of budgets and cost control
