A leading logistics and transport organisation based in Redditch is seeking a highly organised and proactive Tracking & Administration Coordinator to join their night operations team. This key position ensures the efficient movement and tracking of shipments across road and air networks, maintaining accurate communication with customers and internal departments.
Key Responsibilities
- Load and manage orders on the internal system
- Track shipments and keep customers updated throughout the process
- Liaise with customs for cross-border documentation
- Negotiate rates with carriers when required
- Build and maintain strong working relationships with carriers and subcontractors
- Plan vehicle logistics and ensure drivers are issued with the correct paperwork
- Work closely with the warehouse to coordinate incoming and outgoing loads
- Complete job files, obtain proof of delivery (POD), and scan documents into the system
- Ensure all jobs are accurately closed out before invoicing
- Maintain accurate system data and follow up on queries
- Escalate issues in a timely and effective manner
- Collaborate with operations, accounts, and warehouse teams
What We're Looking For
- Strong communication and administrative skills
- Excellent attention to detail and the ability to multitask
- Confidence in working independently and remaining calm under pressure
- Experience in a transport, freight forwarding, or logistics environment is advantageous
- A good working knowledge of MS Office and internal systems
- Minimum of 5 GCSEs (or equivalent)
- Second language is a plus
Working Environment
This role requires night shift work across the weekend and involves consistent communication with teams and partners across different time zones. A proactive, "can-do" attitude and the ability to stay focused under pressure are essential.
