Job Summary Responsible for the accurate preparation, documentation, and processing of payroll for the Company’s international entities, currently covering the UK (x2 entities), the Netherlands and Germany, through the Company’s payroll system and in collaboration with In-Country Partners (ICPs). The role also works alongside UK HR Managers to administer and maintain Company benefits programmes. The job holder is expected to uphold Company values, support high standards of quality, and ensure compliance with applicable legislation. Essential Job Functions • Manage end-to-end payroll processing for multiple countries, for c.250 employees. This includes starters, leavers, amendments, absences, overtime, statutory payments and pensions. • Ensure compliance with tax laws, labour regulations and social security requirements. • Proactively manage relationships with ICPs to minimise payroll errors and improve service, holding ICPs accountable for any discrepancies. • Manage any payroll discrepancies or queries in a proactive manner, resolving or escalating as appropriate. • Ensure accurate year-end payroll processes, tax reporting, and compliance filings (e.g., social security). • Ensure each entity is appropriately registered and deregistered with the relevant authority when applicable for taxes and other payroll-related payments. • Work with ICPs to prepare reports by compiling summaries of earnings, taxes, deductions, leave, disability, and non-taxable wages, and ensure relevant country PAYE/Social Security reconciliations are completed. • Raise monthly salary payments manually. Raise ad hoc payroll-related payments and recover monthly adjustments and deductions. • Raise monthly payments to the UK tax authorities. • Work with ICPs to ensure accurate and timely wage tax and social security remittances and statutory filings in the Netherlands and Germany, verifying ICP outputs against payroll records each cycle. • Manage UK Company Pension Schemes end to end and reconcile accordingly. Auto-enrolment of new employees and tri-annual re-enrolment as per statutory requirement. Raise monthly payments to the Pension provider. • Liaise with ICPs on the administration of statutory and occupational pension arrangements in the Netherlands and Germany, ensuring correct application of contributions through the payroll systems. • Oversee the implementation and administration of international benefits programs, including health insurance, retirement plans, and perks, aligned with regional regulations. Accurately process benefits through the payroll systems. • Support any Payroll/HR projects as required, including payroll reporting and audit requirements. • Update Human Resource Information Systems (HRIS) by entering changes in compensation, exemptions, insurance coverage, deductions, job title and department transfers. • Responsibility for gender pay gap reporting. Qualifications / Skills / Experience • 4+ years of experience in payroll administration, with at least 3 years focusing on international payroll. • A relevant payroll qualification, such as an Advanced Payroll Technician certificate or an MA in Accounting and Finance. • Comprehensive understanding of international payroll regulations, tax laws, and benefits structures. • Proficiency in payroll software (e.g., Moorepay) and advanced MS Excel skills. • Strong interpersonal skills to work effectively across different time zones and cultures. • Ability to work on own initiative, working within a team and the ability to meet deadlines. • Comfortable operating in a fast-paced, PE-backed environment where processes may be evolving; able to exercise sound judgement, think proactively, and respond quickly to changing priorities. • Excellent organisation skills with the ability to multi-task. • Ability to manage multiple priorities in a fast-paced environment. • Ability to process manual calculations.
