As the Operations Administrator, you will play a vital role in coordinating order fulfilment of black box jobs, ensuring on-time in full delivery through liaising with the customers to resolve issues and manage expectations. You will also provide support for job administration within the operations and programme teams.
What you will do:
- Monitor the status of black box jobs through the order receipt to fulfilment process, ensuring that issues are resolved or escalated to management where appropriate.
- Liaise with finance to ensure the revenue forecast accurately tracks the status of black box jobs.
- Coordinate with the customers to ensure export and import requirements are understood by all parties and are fully adhered to for all black box jobs.
- Contribute to the ‘Customer & Countries’ database inputting data & findings to assist with the future delivery of black box jobs.
- Utilise data within the database to develop achievable delivery plans for customer black box jobs.
- Arrange shipment of black box customer orders in accordance with the planned despatch date.
- Collate data necessary to determine tariff codes and export codes and submit part numbers for codification within the TCD/ECD process.
- Carry out export verification checks on exported shipments.
- Provide cover for the Shipping and International Trade Officer during absence.
- Provide administrative support to the Programme Managers including Programme setup, monitoring and closure.
- Administer material resolution on all programme jobs, ensuring any excess materials are documented and resolved within 6 months of programme closure.
- Any other duties as laid out by Line Management.
Requirements:
- You will be educated to GCSE standard or equivalent.
- We are particularly interested in receiving your application if you have experience in any of the following areas:
- Co-ordination and planning of electronic programmes
- Knowledge of risk assessment and monitoring techniques
- 2+ years of experience as an Operations Administrator or in a similar position
- Ability to work to tight deadlines and to manage multiple projects at pace
- Experience with the following tools and packages would be beneficial: MS Office packages, data management software.
