About the Role

Indicium AI's European Operations team is responsible for staffing/resource allocation, contractor management, compliance, vendor management, and IT/systems across a growing portfolio of clients spanning Financial Services, Energy, and Healthcare clients.

We're looking for a London-based Operations Analyst to join the team, with a particular focus on the administration and maintenance of data across Salesforce and Kantata.

This is a hands-on, detail-focused role for someone who takes pride in clean, well-maintained systems data and keen to use AI tools to automate and streamline manual operational processes, rather than just work through them by hand.

What You'll Do

  • Salesforce & Kantata administration - Own the day-to-day accuracy, hygiene, and maintenance of operational data across Salesforce and Kantata (PSA), including resourcing, engagement, and contractor records.
  • Data quality & governance - Proactively identify and resolve data discrepancies, duplicate or stale records, and inconsistent data entry across systems.
  • Process automation - Identify manual, repetitive operational processes and use AI tools to automate or streamline them, reducing turnaround time and manual error.
  • Staffing & resourcing support - Support weekly staffing reporting (new joiners, bench, open roles, pipeline) drawing on accurately maintained Kantata data.
  • Revenue & margin data integrity - Ensure resourcing and engagement data feeding revenue and margin reporting is accurate and up to date.
  • Contractor management - Support the weekly contractor governance cycle: SOW expiry tracking, roster maintenance, and margin data accuracy for fixed-price and day-rate engagements.
  • Cross-functional collaboration - Work closely with Talent, Sales, and People teams to keep resourcing, pipeline, and headcount data aligned across systems.
  • Vendor & compliance support - Assist with contractor agreements, vendor onboarding, and compliance workflows (e. g. IR35/off-payroll considerations, SOW documentation).

What We're Looking For

  • 1-3 years' experience in an operations, systems administration, or data-focused role (professional services, consulting, or tech environments preferred).
  • Direct experience administering or maintaining data in Salesforce and/or a PSA tool (Kantata/Kimble or similar) this is central to the role.
  • A genuine interest in using AI tools to automate manual processes; you look for the automation opportunity before doing something the same way twice.
  • Sharp attention to detail, this role touches margin, contract, and compliance data where accuracy matters.
  • Comfortable working cross-functionally with Talent, Sales, and People teams, translating their needs into clean, structured data outcomes.
  • Clear, concise written communication; comfortable producing summaries for senior stakeholders.
  • Ability to work independently, manage multiple recurring workstreams, and follow through on details without heavy oversight.

  • Familiarity with contractor/IR35 considerations in a UK context
  • Experience using AI tools (e. g. Claude, Chat GPT, or workflow automation platforms) to build lightweight automations or process improvements.
  • Exposure to margin/profitability data in a project-based business.
