2.1 Overview

Working within the Social Housing team, the successful candidate will provide essential administrative and operational support across client accounts and bond-related activities. The role combines correspondence, record keeping, document preparation and coordination with opportunities to learn about bond terms, development plans and client account management. With training and guidance, the apprentice will progressively take on more responsibility, including a small portfolio of lower-stakes accounts, with the longer-term aim of developing into an Account Manager or Bond Officer.

2.2 Role Specific Tasks

Key responsibilities, undertaken with training and supervision appropriate to the apprentice’s experience, include:

  • Handle incoming calls and emails, responding professionally, progressing routine queries and referring more complex matters to the appropriate colleague.
  • Organise inbound and outbound correspondence, ensuring documents and digital files are accurate, accessible and appropriately stored.
  • Maintain accurate client, development and bond-related records, including filing, checking and updating information.
  • Use Salesforce CRM to enter and update client information, record communications, track actions and support the administration of accounts.
  • Assist with preparing and issuing bond terms, ensuring relevant information and documentation are complete and checked through the appropriate approval process.
  • Review development plans and supporting documents, identifying relevant information and raising questions or discrepancies with experienced colleagues.
  • Support the day-to-day administration of Social Housing client accounts, monitoring outstanding information and following up agreed actions.
  • Gradually manage a small number of lower-stakes client accounts under supervision, providing timely updates and maintaining a positive client experience.
  • Prepare reports, letters, spreadsheets and meeting materials, ensuring accuracy and consistency.
  • Coordinate meetings, calls and appointments, keeping clear notes and tracking follow-up actions.
  • Handle confidential information in line with GDPR and company data protection policies.
  • Undertake wider administrative duties and participate in training to develop commercial, technical and relationship-management skills.

The responsibilities outlined are representative of the principal duties associated with the role. Colleagues are expected to work flexibly and undertake other appropriate duties as required.

3.0 Ideal Candidate Profile

We are looking for a reliable, enthusiastic and organised individual who is keen to begin or develop a professional career. This is an entry-level apprenticeship, suitable for school or college leavers as well as those seeking a new direction. Previous office, CRM or housing-sector experience is not required. We value a positive attitude, attention to detail, good communication and a genuine willingness to learn. The successful candidate will receive training and support while gradually developing responsibilities within the Social Housing team.

  • Reliable and punctual, with good time management and a commitment to the role.
  • Eager to learn new skills, accept guidance and engage with training.
  • Positive, motivated and willing to support colleagues.
  • Careful and accurate when completing tasks and following instructions.
  • Friendly, approachable and able to communicate clearly.
  • Organised in managing tasks, paperwork and information.
  • Basic IT confidence and a willingness to learn how to use Outlook, Word, Excel, Salesforce and other business systems; prior experience with these systems is not essential.
  • Ambitious and interested in progressing towards an Account Manager or Bond Officer position as skills and experience develop.

4.0 Additional Desirable Attributes

Some experience of administration, customer service or organising information would be an advantage, whether gained through part-time work, work experience, volunteering or education. However, no previous employment or office experience is necessary. We welcome applications from candidates at the start of their careers who demonstrate enthusiasm, reliability and potential. Full training will be provided, including on Salesforce, bond processes and the social housing sector.
