Incyte Educational Consultancy is a growing organisation providing expert support in school improvement and safeguarding. We are a small, collaborative central team and are looking for a dependable, proactive, and exceptionally well-organised Administrative Assistant to help drive our operations forward. The ideal candidate will bring a great attitude, attention to detail, and the ability to thrive in a fast-paced, entrepreneurial environment.
This role is critical to ensuring the team stays on track, deadlines are met, and high standards of internal coordination and client service are maintained. You will work closely with the Directors and consultants, providing administrative support across the organisation, and particularly supporting the Managing Directors in their day-to-day roles.
Key Responsibilities:- Provide direct administrative support to the Managing Directors to assist with their day-to-day work, including scheduling, document preparation, and internal follow-ups.
- Support the wider consultant team with diary management, meeting coordination, and internal communications.
- Maintain and regularly update overall project tracking sheets, ensuring all deadlines and milestones are clearly recorded and followed.
- Proactively follow up with team members to ensure deliverables are submitted on time and project timelines are adhered to.
- Format, proofread, and prepare client-facing reports, presentations, and proposals to a high professional standard.
- Support occasional company events and training sessions, including logistics, materials, and on-site assistance where needed.
- Communicate professionally with clients and partners on behalf of the team, including handling queries, scheduling meetings, and following up on actions.
- Carry out desktop research to support ongoing projects and business development efforts.
- Maintain internal records and systems, including consultant databases, project trackers, and SharePoint/OneDrive folders.
- Support basic finance and HR functions such as processing invoices and expenses, coordinating with the finance team, and onboarding new consultants.
- Monitor and manage shared inboxes and respond to routine enquiries professionally and promptly.
- Previous experience in an administrative or office support role, ideally with responsibility for supporting senior leadership and coordinating projects or workflows.
- Exceptional organisational and time management skills, with a proactive approach to managing priorities and deadlines.
- Strong written English and confident verbal communication.
- High level of accuracy and attention to detail.
- Proficient in Microsoft Office (especially Excel and Word) and confident using cloud-based platforms (e.g., SharePoint, OneDrive, Teams).
- Able to work effectively across both office and remote settings as part of a connected team.
- Comfortable liaising with clients and external partners in a professional capacity.
- Experience supporting events and/or contributing to research is desirable.
- A strong team player who enjoys working in a small, entrepreneurial environment and is willing to get involved in a wide range of tasks.
- Discreet, dependable, and professional when handling confidential or sensitive information.
- An understanding of the school or education sector is a strong advantage.
- Salary: £30,000 – £32,000 per annum (depending on experience; part-time roles will be paid pro rata).
- Bonus: Eligibility for company-wide performance bonus scheme.
- Benefits: Pension plan, 33 days of annual leave (including bank holidays and five days over the Christmas period), flexible working arrangements.
