About The Role
We are looking for a motivated and well-organised Bid Assistant / Administrator to join our team. This role provides vital administrative and coordination support to the bid team, helping to ensure high-quality, compliant submissions are delivered on time. The position is ideal for someone at the early stages of their career who is keen to develop experience in bids, proposals, and business development within a professional services or consultancy environment.

What You Will Do

  • Bid & Tender Administration
    • Provide day-to-day administrative support to the bid team
    • Assist with the preparation, formatting, and collation of bid and tender documents
    • Ensure submissions comply with client instructions, formatting requirements, and deadlines
    • Upload and submit bids via procurement portals and client systems
    • Maintain bid trackers and assist with monitoring deadlines
  • Coordination & Support
    • Support Bid Manager and Bid Coordinators by chasing inputs and information
    • Collate CVs, project experience, and supporting documents for bids
    • Assist with bid meetings and internal reviews
    • Communicate with internal teams to gather required information
  • Document & Systems Management
    • Maintain bid libraries, templates, and standard response documents
    • Support data entry and updates on our NetSuite system
    • Assist with archiving completed bids and maintaining records
    • Log feedback and outcomes following bid submissions
  • General Administration
    • Provide general administrative support to the bids and marketing function
    • Assist with framework bids, PQQs, ITTs, and expressions of interest
    • Support the continuous improvement of bid processes and document control

Your Experience

  • Essential
    • Strong organisational skills with good attention to detail
    • Ability to manage multiple tasks and work to deadlines
    • Good written and verbal communication skills
    • Confident user of Microsoft Office (Word, Excel, Outlook)
    • Proactive, reliable, and willing to learn
    • Ability to work collaboratively as part of a team
  • Desirable
    • Previous administrative experience (office, bids, marketing, or business support)
    • Experience or interest in bids, proposals, or professional services
    • Familiarity with tender portals or document management systems
    • Degree or qualification in business, construction, engineering, or a related field
    • Experience with Adobe InDesign
