We are seeking a highly organised and proactive Executive Assistant to provide professional administrative and personal support to the business. This role is critical in ensuring the smooth running of daily operations, managing executive schedules, supporting projects, and maintaining high standards of confidentiality and service. Working for the Directors and wider executive team, the successful candidate will act as a key point of contact internally and externally, while actively promoting the company’s culture and core values.
Key Responsibilities
- Provide comprehensive diary management, monitoring schedules and managing changes effectively.
- Support project work, including preparing reports, presentations, and documentation packs.
- Take accurate minutes at meetings (including board meetings) and distribute to key attendees, as well as for employee matters as and when required.
- Arrange all travel requirements—flights, hotels, car hire—within budget guidelines.
- Book meeting rooms and venues, and provide event support when required.
- Manage client calls and ensure messages are recorded accurately and efficiently.
- Draft letters, emails, and complete general administrative duties as required.
- Handle confidential matters discreetly and manage miscellaneous issues as they arise.
- Meet and greet important visitors, provide hospitality, and deliver health and safety briefings.
- Maintain the stock cupboard and manage supply levels.
- Arrange personal and work‑related appointments for the Directors.
- Assist with the organisation of social activities and the management of the social budget.
- Respond to emails promptly and professionally on behalf of the Directors.
- Act as the first point of contact for all enquiries to the business.
- Uphold and actively promote the company’s culture and core values in all interactions.
- Perform any other reasonable tasks to support the needs of the Company.
Skills, Knowledge and Expertise
- Excellent verbal and written communication skills.
- Minute taking and confidence with Microsoft Suite (Excel, Word, Teams).
- Experience hosting and front of house.
- Strong time management skills with the ability to prioritise and multitask effectively.
- Self‑motivated with the ability to work both independently and collaboratively.
- A strong customer and service‑oriented mindset.
- High attention to detail and a commitment to delivering work of the highest standard.
