Role Overview:
As Junior Office Manager, you will play a vital role in ensuring the smooth operation of our office and supporting our Partners in their day-to-day activities. Key Responsibilities:
- Administrative Support: Manage calendars, schedule meetings, and coordinate travel arrangements for Partners and team members.
- Prepare and format documents, presentations, and reports for internal and external use.
- Handle incoming calls, emails, and correspondence, ensuring timely responses and follow-ups.
- Maintain accurate records, including expense tracking and filing systems.
Office Management:
- Oversee daily office operations, ensuring a professional and efficient work environment.
- Manage office supplies, equipment, and vendor relationships.
- Coordinate logistics for meetings, events, and client visits, including arranging catering and meeting rooms.
- Maintain a tidy and organized office space to reflect the firm’s professional standards.
Partner Assistance:
- Provide direct support to Partners, including preparing meeting materials, agendas, and follow-up notes.
- Assist with research tasks, such as gathering data on potential investments or market trends, as directed.
- Coordinate with external stakeholders, including portfolio companies, investors, and service providers.
- Handle confidential information with discretion and professionalism.
Qualifications and Skills:
- Recent graduation from a Bachelor’s degree program (Business, Finance, Economics, or related fields preferred).
- Strong organizational skills with meticulous attention to detail.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to multitask, prioritize, and thrive in a fast-paced environment.
- Professional demeanour with a proactive and positive attitude.
- Prior administrative or office experience is a plus but not required.
- Interest in private equity, venture capital, or finance is highly desirable.
