About the Role: We are searching for a highly organised and proactive Executive Assistant to support our Group Operations Officer. In this role, you’ll provide high‑level, proactive support to the GOO and, when needed, the wider Executive Team (9 in total). You’ll play a key role in ensuring priorities are managed smoothly, communication flows effectively and senior leaders are fully supported.

What You’ll Be Doing:

  • Proactive diary and inbox management for the GOO — anticipating needs, preparing briefs and ensuring they are organised, informed and ready for all commitments
  • Coordinating support for the full Executive Team, including scheduling meetings, preparing documentation and managing follow‑ups for up to nine senior leaders
  • Planning, organising and supporting monthly Exec meetings, quarterly reviews, offsites, and leadership sessions
  • Preparing agendas, minutes, action trackers and follow‑up communications on behalf of the GOO and Exec Team
  • Acting as a trusted liaison between the GOO and Exec Team and key internal and external stakeholders
  • Producing high‑quality reports, briefs and presentations, often working with sensitive and confidential information
  • Managing a range of organisational tasks including facilities coordination, supplier management, post handling, and keeping the working environment running efficiently
  • Leading the organisation of events, leadership gatherings, hospitality bookings and other operational needs
  • Handling administrative requests from hotels, issuing memos, coordinating actions and ensuring follow‑through across teams
  • Continuously looking ahead, spotting potential issues early and taking ownership — acting before being asked

Who you Are:

  • You’re an experienced, highly organised and forward‑thinking Executive Assistant, ideally with a background in Hospitality or Hotels
  • Experience supporting C‑suite or senior leaders
  • Demonstrated success working in a busy, fast‑moving EA role where priorities shift frequently
  • A proactive, anticipatory mindset — you plan ahead, spot issues early, and make things happen
  • A warm, positive and professional communication style — you represent the Exec Office with confidence and discretion
  • Ability to build strong relationships at all levels, from Hotel managers to senior internal and external stakeholders
  • Exceptional attention to detail, organisation and follow‑through
  • Strong judgement, confidentiality and professionalism; you’re trusted with sensitive information
  • Ability to stay calm under pressure and manage competing demands
  • Strong IT skills across the Microsoft Office / suite
