As a Village Hospitality Administrator, you will help bring events to life across all venues, creating memorable experiences while building strong relationships with clients and encouraging them to return.

Working closely with the Venue and Hospitality Manager, you’ll provide excellent customer service and ensure a smooth journey from initial booking through to event delivery. You’ll also coordinate event details, keep teams informed, follow all health and safety requirements, and support exciting initiatives that grow client engagement and repeat business.

What you would be doing

You will provide friendly, efficient customer service by responding promptly to enquiries, managing bookings, preparing accurate invoices, and promoting Imperial’s venues, facilities, and additional services. You will also support internal events, monitor equipment, process agency staff timesheets, and assist students with accommodation enquiries.

You will maintain accurate booking and quotation records in the Kx system, ensuring all event details are clearly communicated to the relevant teams. You will need to build positive relationships with new and existing clients, arrange professional venue tours, understand their requirements, and help create experiences that encourage repeat business.

You will look for ways to improve the customer journey while ensuring all bookings comply with Imperial’s financial, health and safety, data protection, and safeguarding requirements. Working flexibly across different campuses, you’ll bring a proactive, can-do attitude and contribute to your own development and the growth of the wider team

What we are looking for

  • Strong general education e.g., GCSEs or equivalent in Maths and English
  • Experience in office administration, customer service, or community facility management
  • Previous experience in Higher Education sector
  • Previous experience of a computerised diary/booking system (ideally Kx) required
  • Familiarity with the statutory requirements for Health & Safety legislation and procedures
  • A solid understanding of the administrative frameworks within Higher Education and how public organisations operate
  • Excellent IT skills: Office 365 (MS Word, Excel, PowerPoint) Outlook and MS Teams
  • Good communication and interpersonal skills, including a good telephone manner
  • Able to present written information clearly and concisely using appropriate structure and layout E Reliable, self-motivated and able to use own initiative
