Main purpose of the job
Providing operational support to the Division.
Managing divisional resources, including finance, staffing, space and facilities to ensure effective stewardship and continued quality of service.
Contribute to the development and implementation of the strategic and operational Divisional plans.

Duties and responsibilities
Supporting leadership and management of the division, including the ongoing maintenance of strategic risks and issues.
To manage the operational support for the division, including diary management, event delivery, meeting support etc.
Support divisional workforce planning and staffing by:
maintaining a divisional staffing structure.
resource tracking and planning.
recruitment and retention support.
overseeing divisional induction.
management of learning and development inc. oversight of PDRs.
Co-ordinating divisional leadership and management meetings including:
Assisting in setting the agenda.
Agenda, actions, follow-up, materials, prep, meeting invites, etc.
Ownership and maintenance of division SharePoint/Teams, slide decks and communication documentation.
Financial/spend tracking for the division (not specific programme/project spend). Support for budgeting and forecasting processes.
Preparing reports on divisional activities and achievements, incorporating Programme/Project reports as appropriate, for UCL governance. Likely to include reports and papers to UMC, Operations Committee, PSLG, etc.
Management and coordination of Faculty Operations run meetings and boards (e.g. DoO Meetings, Faculty Design Authority, Away Days etc.)
Agreeing attendees and arranging invites.
Producing agenda.
Booking rooms, etc.
Undertaking risk assessments for offsite activities.
Managing the interface with other services, including responding to requests for information and/or support (e.g. Finance, HR, Estates, etc).

Essential Criteria
Experience of providing excellent support services, including setting service standards and monitoring performance.
Experience of effective budgetary management and control.
Experience of recruiting and developing individuals effectively.
Experience of organising events, meetings and workshops.
Experience of producing high-quality written work, such as reports, papers and presentation materials.

Skills and abilities
Excellent IT skills.
High level of literacy and numeracy and the ability to communicate effectively to wide range of stakeholders.
Excellent organisational skills; Able to organise and prioritise a varied and demanding workload.

Desirable Criteria
Degree qualified or relevant experience in Business Management/HR.
Experience of creating and maintaining SharePoint / Teams sites.
Financial management, budgeting and financial reporting and analysis skills.
Ability to demonstrate effective negotiation and influencing skills to work with, and through others, in order to get things done.
