You will have the opportunity to be involved in a range of administration tasks, supporting the client services team and providing general assistance to the London Office.

Please note that this role is a year contract.

Key Responsibilities

  • Research Project Support
  • Check reports and data for accuracy.
  • Create charts for report data.
  • Proofread reports and check formatting consistency.
  • Support with formatting and sourcing images.
  • Create and support with Caplena charts.
  • Create vox pops / word clouds / visual elements.
  • Provide verbatim support.
  • Input database information for key accounts.
  • Respondent letter / documentation checks.
  • General Team Support
  • Complete and submit expenses, including credit card expenses.
  • Support general team communications and reminders (internal and external).
  • Manage room bookings for workshops and training sessions, including catering and logistics emails.
  • Monitor general emails from London-based colleagues, especially questions about deliveries and access.
  • Plan social events, including invites, coordination and tracking responses.
  • Monitor the West Wing admin chat and respond to requests, such as low stock levels, supplier queries and office improvements.
  • Office Management & Maintenance
  • Set up office access passes.
  • Report maintenance issues and be onsite for maintenance visits.
  • Support first aid and health and safety, recruiting first aiders and fire safety marshals.
  • Ensure meeting rooms are presentable and stocked with items such as whiteboard pens and clipboards.
  • Liaise with cleaners on any additional cleaning requests or issues that need following up.
  • Arrange confidential waste collections.
  • Manage weekly food, beverage and kitchen supply orders for employee use.
  • Monitor stationery stock and reorder supplies when needed.
