The Role and What You’ll Do: 160over90 is seeking a Project Coordinator to support the project team in the office during pre-production and onsite at live events. It’s a junior role that requires some industry knowledge and a minimum of one year of agency experience. You will build on your previous knowledge and experience to develop a greater understanding of the roles within each department and the tasks involved in varied projects. A hard-working, organised and practical individual will thrive in this role and will learn all the right skills to become a Junior Producer. Within this role you’ll work on all types of projects with a lesser or greater responsibility depending on the project scope and will have the opportunity to own small projects whilst learning the project process from start to finish as well as how to nurture and build client relationships. Each project will be different and may include experiential marketing, events, or hybrid virtual events.

Responsibilities:

  • Ensure that all production and project processes are completed to the highest standard, are accurate, to budget and on time.
  • Own the budget & client management process, both internally and for the client on projects up to £30k.
  • Have ownership over elements such as furniture, catering, branding on medium to large projects.
  • Attend weekly project team and client meetings and take minutes.
  • Create, update, and distribute contact sheets, agendas, status reports, production and delivery schedules etc and send out pre and post meeting.
  • Collate and format keynote documents to present to clients.
  • Manage product and event deliveries, owning the relationship with our warehousing supplier and creating detailed schedules.
  • Research supplier options, collate into supplier database and present them to the Project Director or EMEA VP of XML.
  • Liaise with suppliers and external contractors in a positive and relationship building manner.
  • Support the Project Leads and wider team in tasks that require support with a proactive approach e.g. errands, shopping, travel arrangements, project logistics, research.
  • Logging receipts, creating purchase orders, and feeding into the budget management process.
  • Represent the agency to clients, suppliers, and guests in a positive and approachable manner.
  • Continually work hard to improve client satisfaction.
  • Actively seek new ways to improve on completing tasks quickly and sharing methods with the team.
  • Build on your knowledge of our client's brand identities and what would and wouldn’t work for each client.
  • Build on your production and creative knowledge and if desired learn systems and programs within these departments, such as SketchUp, CAD, illustrator.
  • Continue to build on existing skills for delivering successful events.

  • Experience in office sharing programs (word, excel, teams).
  • Mac user.

  • Able to complete tasks at expected quality with strong attention to detail.
