The Role

We're looking for a proactive, highly organised

Operations & Office Manager to be the operational backbone of our London office, supporting a team of 12 employees while also providing operational support to our US team of 10.

Reporting directly to our CFO, based in France, you will work closely with colleagues across HR, Finance, Legal and IT in our UK, France and US offices.

This is a varied, hands-on role where no two days are the same.

You'll play a vital role in ensuring the smooth day-to-day running of the business, supporting multiple functions including finance, HR, sales operations and office management.

  • What You'll Be Doing
  • Process customer orders and manage deal registrations
  • Calculate sales commissions accurately and on time.
  • Raise and manage customer invoices.
  • Reconcile supplier invoices, corporate credit card transactions and employee expenses
  • Ensure timely processing of payments and maintain accurate financial records.
  • Support accounts receivable activities, including payment follow-up and collections.
  • HR & People Operations
  • Lead the onboarding process for new employees, including equipment procurement, account creation and system access.
  • Maintain accurate employee records and HR documentation.
  • Office & Facilities Management
  • Act as the first point of contact for visitors and incoming telephone calls.
  • Coordinate meeting rooms, office facilities and internal events.
  • Manage office supplies and purchase requisitions.
  • Ensure the office operates efficiently.

What We're Looking For

  • Previous experience in Operations, HR admin, Office Management, Executive Assistant or Business Support.
  • Strong finance administration experience (Xero would be a plus).
  • Experience coordinating employee onboarding.
  • Excellent organisational skills and attention to detail.
  • Strong written and verbal English communication skills.
  • Proactive, self-motivated and comfortable collaborating across multiple countries and time zones.
  • Hiring Process
  • Stage 1: 30-minute Microsoft Teams interview with Talent Acquisition Manager.
  • Stage 2: One-hour Microsoft Teams interview with the CFO.
  • Stage 3: One-hour face-to-face interview with the London team.
