We’re supporting a leading cultural organisation as they prepare for a major milestone, and they’re looking for an organised, proactive Administrator to join their team during a pivotal mobilisation period.
This is a brilliant opportunity for someone who thrives in a busy, varied role and enjoys being the person who keeps everything running smoothly.
You’ll work across multiple workstreams — finance, recruitment, onboarding, project coordination and operational support — playing a key part in helping the team stay organised, informed and on track.
The Role
- Project & Mobilisation Support
- Keep departmental documentation, policies and Share Point libraries organised and up to date.
- Support mobilisation and operational readiness activities.
- Assist with licensing and regulatory administration.
- Track actions, deadlines and milestones to keep projects moving.
- Finance Administration
- Support the setup of finance processes, templates and reporting tools.
- Process purchase orders and assist with supplier onboarding.
- Contribute to month‑end tasks including journals, accruals and expenditure tracking.
- Maintain accurate financial records and resolve queries with finance colleagues and suppliers.
- Recruitment & Onboarding
- Coordinate interviews, scheduling and logistics.
- Communicate with candidates and hiring managers throughout campaigns.
- Support onboarding, including IT, equipment and access requirements.
- Assist with induction planning and training coordination.
- Operational & Administrative Coordination
- Arrange meetings, workshops and team events.
- Prepare agendas, take minutes and follow up on actions.
- Maintain trackers, records and reporting tools.
- Collect and analyse operational data to support decision‑making.
- Build strong relationships across internal and external stakeholders.
About You
You’ll be someone who
- Has solid administrative experience in a busy, multi‑stakeholder environment.
- Is highly organised, calm under pressure and confident juggling competing priorities.
- Has experience supporting financial processes (POs, supplier admin, invoices, budget tracking or month‑end).
- Communicates clearly and professionally with colleagues, suppliers and partners.
- Is comfortable using Microsoft 365 — especially Excel, Outlook, Teams and Share Point.
- Takes initiative, spots what needs doing and works independently when needed.
