RESPONSIBLE TO the Clerk

IMPORTANT FUNCTIONAL RELATIONSHIPS

The Clerk, other members of staff, councillors, contractors and the general public.

DUTIES AND RESPONSIBILITIES

  1. Greeting visitors, contractors and councillors

  2. Answering the telephone in a professional and courteous manner and providing general support

  3. Organising and scheduling meetings and appointments in liaison with the Clerk and/or relevant Councillors.

  4. Helping to manage and coordinate bookings for Council facilities such as the community room, changing rooms etc

  5. Maintaining filing systems and contact lists

  6. Working flexibly to support and assist the Clerk in order to deliver Council services

  7. Assisting in planning and running community events hosted by the Council

  8. Carrying out administrative duties such as filing, typing, copying, binding, scanning, writing letters and emails, maintaining computer and manual filing systems etc

  9. Using computer software such as word processing, spreadsheets, and databases to prepare reports, memos, and documents etc

  10. Using a variety of software packages, such as Microsoft Word, Outlook, Excel, Publisher and Powerpoint etc., to produce correspondence and documents and to maintain presentations, records, spreadsheets and databases

  11. Maintaining and updating the Councils website and Facebook pages and any other social media utilised by the Council

  12. Photocopying, printing, data entry, scanning etc

  13. Dealing with the post and distributing papers and documents for meetings

  14. Assisting the Clerk in the compilation of the parish newsletter (the Illogan Review) on a quarterly basis

  15. Handling sensitive and confidential information in an appropriately discrete manner

  16. Attending meetings, conferences, seminars and training courses

  17. Assisting the Clerk in obtaining quotes and tenders for the delivery of Council services and purchase of products

  18. Undertaking any other duties required by the Council consistent with the level and scope of post

  19. When trained, cover the work of the Clerk when they are unavailable
