Purpose of the Job

To provide a comprehensive and professional HR & Payroll administration service to the business alongside employee relations support, supporting the smooth running of the UK People and Communications function and taking responsibility for effective day-to-day HR administration of UK-based employees. As the P&C specialist within the UK you will support the P&C Market Manager in the continuous improvement of the HR operational function and identify areas of improvement within the HR & Payroll activities relating to day-to-day and administrative tasks. You will provide excellent customer service to all stakeholders, often being the first person that stakeholders reach out to via the HR Inbox for queries, employee casework and support which is vital to the smooth running of the team.

Responsibilities of the Job

  • Be responsible for HR Administration in the Bank including but not limited to; processing changes to terms and condition of employment, family leave and employee onboarding/off-boarding, preparing all documents and updating all people systems as necessary.
  • Manage the probation process to ensure that reviews are diarised, managers receive appropriate guidance and support and that appropriate records are created and kept.
  • Perform monthly checks of co-worker account activity in accordance with the SOP and report findings.
  • Maintain Human Resources files ensuring appropriate compliance with GDPR legislation, including up-to-date structure/organisation charts.
  • Compile and analyse HR management information when necessary to support production of monthly and quarterly dashboards, highlighting issues/trends and reporting to the P&C Market Manager.
  • Provide support to managers with the Ikano recruitment and selection process, including speaking to recruitment agencies, advertising vacancies and supporting the selection process/interviews and feedback to candidates/external agencies.
  • Carry out pre-employment checks for successful candidates, following the Risk Matrix; coordinate with the Financial Crime Team for CIFAS checks and escalate issues to the P&C Market Manager as appropriate.
  • Responsible for the new starter process, including facilitating induction and communicating details of new employees to appropriate colleagues to ensure facilities and equipment are ready on start date.
  • Maintain Ikano Bank’s LMS to ensure records of training and development for all learners; provide LMS/LinkedIn Learning advice, training for new staff and line managers, and troubleshoot problems when applicable.
  • Record and monitor co-worker development requests, liaising with Co-workers, Organisational Development and People Managers to ensure timely processing and accurate recording of training costs and expenses.
  • Conduct a monthly check of CBT completion rates to ensure mandatory training modules are completed and compliant; highlight non-completion to line-managers and HR Manager.
  • Administer and process the monthly payroll and be the first point of contact for benefits and pay-related queries, ensuring payroll is completed accurately and on time for sign-off with the outsourced payroll provider.
  • Act as a first point of contact for line managers on employee relations queries, providing guidance in line with ACAS guidelines and internal policies.
  • Support the coordination and administration of employee relations cases, including preparing documentation, note-taking in formal meetings and maintaining accurate case records.

  • Super-user for Ikano Bank People, LMS and other HR-related systems within the team.
  • Understanding of the co-worker life cycle and ability to identify process efficiencies to the HR Ops network.
  • Up to date knowledge on ‘Right to Work’ documents and checks.
  • Clear understanding of how the HireRight checks are completed across the bank.
  • Knowledge of HR systems and files and where to find relevant information.
  • Working knowledge of employee relations processes including disciplinary, grievance, absence management and performance management.
  • Understanding of how to apply UK employment legislation in day-to-day casework.
  • Awareness of escalation points and when to seek guidance on complex or high-risk cases.
