About The Role
We are seeking a proactive, highly organized Personal Assistant (PA) to provide seamless support to three members of our executive team (CEO, CSO, and CDSO). This role is pivotal in ensuring the executives\' time and focus are directed toward the company\'s most strategic priorities. You\'ll be at the center of daily operations, managing schedules, coordinating meetings, and serving as a trusted partner in keeping the leadership team effective and aligned.

What You\'ll Do

  • Calendar & Scheduling: Manage dynamic and complex calendars across multiple time zones; prioritize and resolve conflicts to maximize executives\' time
  • Meeting Support: Coordinate internal and external meetings, including board meetings, investor updates, scientific collaborations, and conferences. Handle agendas, prep materials, note-taking, and follow ups
  • Travel Coordination: Plan and organise both domestic and international travel, including flights, accommodation, and detailed itineraries
  • Communication: Draft, proofread, and manage correspondence on behalf of executives. Handle all communication, including emails, phone calls, and post, ensuring a prompt response or escalation where necessary
  • Event Coordination: Organise internal and external events, from small meetings to large conferences including venue sourcing, attendee communications and follow ups.
  • Operational Support: Assist with expense reports, invoice processing, conference planning, material prep and submission, and support ad hoc projects
  • Administrative Support: Provide general administrative support, including filing, document management, and maintaining office supplies

We are looking for a highly organised and proactive self-starter who enjoys working in a dynamic startup environment and who is comfortable creating and applying processes and communicating with people at all levels.

  • Highly Organised & Detail-Oriented: Capable of managing complex workflows and multiple priorities efficiently
  • Strong Communicator: Able to engage confidently with investors, leadership, and employees - including pushing back at seniors where you feel it is necessary
  • Self-Starter: Comfortable taking initiative, solving problems, and building efficient systems from scratch

Requirements
What you\'ll bring

  • Previous experience as an Executive Assistant, Personal Assistant, or similar role, ideally supporting multiple senior leaders
  • High level of discretion and ability to handle confidential information
  • Exceptional organisational skills, with the ability to manage multiple tasks and deadlines
  • Strong written and verbal communication skills, with the ability to liaise confidently with stakeholders at all levels
  • Previous experience planning and executing events
  • Prior experience in biotech, life sciences, healthcare, or high-growth startups strongly preferred
