About the Role

We’re looking for a proactive and well-organised Office Administrator to join our growing team. This is a varied and hands-on role that will support the daily operations of a busy design and build office environment. You'll be the go-to person for all things admin, helping to keep the office running smoothly while supporting the wider team across HR, finance, procurement, and general office coordination.

Key Responsibilities

  • Manage day-to-day administrative tasks, including answering calls, responding to emails, and handling post.
  • Support the Directors and project teams with scheduling meetings, preparing documents, and filing paperwork.
  • Maintain office supplies, place orders with suppliers, and manage stock levels.
  • Coordinate team calendars, meeting rooms, and office logistics.
  • Support basic HR processes, including maintaining staff records, onboarding checklists, and holiday tracking.
  • Assist the finance team with basic invoicing, expenses, and purchase order tracking.
  • Help with health & safety records, inductions, and ensuring policies are up to date.
  • Liaise with external service providers such as IT support, cleaners, and utilities.

What We’re Looking For

  • Proven experience in an administrative or office support role.
  • Excellent communication and interpersonal skills – you’ll be dealing with everyone from clients to contractors.
  • Highly organised, with strong attention to detail and the ability to manage multiple tasks.
  • Comfortable working independently and taking initiative in a fast-paced environment.
  • Competent with Microsoft Office (Word, Excel, Outlook); familiarity with cloud systems like Google Drive or Xero is a plus.
