We are looking for a Solutions Administrator to join our successful team. This is an office based role in our Harrogate office.

Role and Responsibilities

As a Solutions Administrator, you will play a key role in supporting the Solutions Manager to ensure the smooth coordination and execution of administrative tasks across multiple projects. You’ll be the central point for keeping things organised — managing documentation, tracking project progress, and ensuring records are accurately maintained through Microsoft Dynamics 365.

Based in our Harrogate office, you’ll collaborate closely with Solutions Directors, internal teams, suppliers, contractors, and clients to ensure all project tasks are completed efficiently, on time, and to the highest standard.

The successful candidate's responsibilities will include but not be limited to:

  • Support the Solutions Manager with daily administrative and coordination tasks.
  • Plan and monitor project schedules, ensuring key milestones are tracked and met.
  • Liaise with internal teams, Solutions Directors, customers, suppliers, and contractors to maintain clear and effective communication.
  • Attend project meetings and team calls, documenting actions and decisions.
  • Maintain and update Dynamics 365 and internal project trackers with accurate, up-to-date information.
  • Assist in the preparation of project documentation, reports, and weekly updates.
  • Liaise with suppliers and contractors to raise Purchase Orders and Work Orders, ensuring relevant costs are applied to projects.
  • Communicate directly with store-level clients (e.g., Store Managers), including phone calls and email follow-ups.
  • Record all communications (calls, emails, updates) in Dynamics 365 to ensure project visibility and continuity.
  • Order stock from suppliers and ensure timely delivery to meet project timelines.
  • Update and manage the project resource planner on a weekly basis.
  • Raise any concerns with Team Leaders or Line Manager when necessary.
  • Ensure all work adheres to company policies and procedures as outlined in the Company Handbook.

Experience and Qualifications

Essential:

  • Excellent organisational and time management skills.
  • Ability to multitask and manage a high volume of varied tasks daily.
  • Strong communication and interpersonal skills — written, verbal, and over the phone.
  • High attention to detail with a proactive and solution-focused mindset.
  • Comfortable using Microsoft Dynamics 365 and other project tracking tools.
  • Proficient in Microsoft Office applications, especially Excel and Word.
  • Ability to prioritise workload and meet tight deadlines.
  • Adaptable to changing workloads and able to work both independently and collaboratively.
  • Professional, well-presented, and confident in dealing with stakeholders at all levels.
  • Self-motivated, with a can-do attitude and strong problem-solving abilities.
