Our client is a well-established coed, independent prep school, based in Clapham. This is a PA to Headteacher role joining the Administration team. This is an exciting opportunity for a highly motivated, enthusiastic PA administrator with strong organisational skills and a commitment to excellent customer service. As the PA to Headteacher you will work closely with the School's Office Manager.
Core duties will include the following:
- To create a professional and welcoming reception area for parents, pupils, staff and visitors within a framework of excellent customer service.
- Shared responsibility for being the first point of contact for parents, visitors, staff and pupils, working as a member of the office team ensuring all tasks are completed efficiently and accurately to support the smooth administrative operation of the school.
- Respond appropriately and efficiently to all parental inquiries via face-to-face contact, phone calls and emails.
- To follow the School Office Annual Administration Schedule.
- To provide PA support to the Headmaster.
- To assist the lead events coordinator with all school events, producing organisational schedules for staff.
- To manage the School calendar, planning and booking the termly Diary Dates.
- To draft and coordinate communications to parents using the school Parent Mail electronic communications system.
- Completes school registration processes using the school’s Management Information System (ISAMS) and assisting staff with registration as necessary.
- To organise coaches for all school events and trips.
- To coordinate the termly trips and events schedule, guiding staff through trip planning and health and safety risk assessments.
- Shared responsibility to organise the communication and organisation of Parent Teacher Meetings in the Autumn and Summer Terms.
- To provide first aid and administer medicine to pupils when necessary.
- Shared responsibility for and oversight of the signing-in process of all visitors, recognising the importance of safeguarding considerations and following school policies and procedures in this regard.
- To carry out occasional administration for the DFE and Ofsted, including the annual census.
- Remote checking of the office email during the school holidays.
- To arrange staff meetings and minute them when appropriate.
- To have a good understanding of the workings and policies of the school.
- To undertake any task that the Headmaster and Principal might reasonably require in order to fulfil the job.
- Attend Parent Teacher Evenings, School Events, INSET, Open Days and such school functions as required by the Principal and Headmaster.
- To observe Health and Safety requirements.
