Job Description

We are looking for a seasoned professional to work closely with IG's CPO and CRO in a successful global organisation

Role Purpose

The Executive Assistant provides a range of support and administrative services to the CPO and CRO of the IG Leadership Team to promote efficient service delivery and effective management of the Executive office. The individual in this role is required to maintain high standards of professionalism, efficiency, personal communication, discretion and independent judgment in dealing with a wide range of highly sensitive issues under tight deadlines/pressures.

In This Role, You Will

  • Triage, proofread, compose, and respond to routine correspondence on behalf of the CPO and CRO.
  • Undertake special assignments/projects on a wide variety of issues as requested by the CPO and CRO.
  • Prepare selective summaries and any follow-up actions for the CPO and CRO.
  • Schedule and manage the CPO and CRO’s calendars including prioritising and resolving related conflicts and competing demands, proactively scheduling important meetings with internal and external individuals.
  • Organise and coordinate business travel and related requirements including travel authorisations, flight tickets, hotel bookings, visas, airport transfers and expense reports.
  • Provide support in arranging meetings, including collation of speaking notes and/or briefing notes and handling logistics, such as conference registrations and room reservations.
  • Coordinate, plan and organise small-to-large-scale meetings.
  • Perform general clerical duties and completion of forms on behalf of the CPO and CRO.
  • Perform other duties as required and/or assigned.

What You’ll Need

  • A minimum of 7-10 years supporting C- Level Executives.
  • Degree in business management or related field, or training in secretarial skills, office management and/or administrative studies.
  • Experience in organising meetings, preparing and monitoring budgets, assisting with travel and hotel accommodations, and providing general office operations support.
  • Demonstrated ability to achieve high-performance goals in a complex and fast-paced environment.
  • Expert-level written and verbal communication.
  • Proficiency in grammar, spelling and proofreading.
  • Ability to understand and interpret policies and procedures as well as apply them with consistency.
  • Strong computer skills including proficiency in Microsoft Office programs; Word, Excel, PowerPoint and Outlook.

  • Excellent interpersonal skills and the ability to build and maintain professional, friendly, and cordial relationships with stakeholders, including staff, board members and external partners.
  • Highly resourceful team player with the ability to also be extremely effective independently.
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability.
  • Proven ability to handle confidential information with discretion and be adaptable to various competing demands.
  • Excellent communication skills – the ability to communicate effectively with both technical and non-technical colleagues and stakeholders.
  • Self-motivation and organisation – the ability to manage your own time and task list effectively.
