The Role
Provide comprehensive administration and junior business support to the Global Head of Sustainable Investment and wider team. Contribute to the overall effective operation of the team by delivering a consistently high standard of work in a timely manner.
Operational Management
-Supporting the Global Head and wider UK based part of the team, to perform their roles effectively, building and maintaining close working relationships with staff and key external stakeholders.
-Keep abreast of developments within the organisation, to ensure the Global Head and wider team can be provided with timely and relevant advice and information.
-Develop systems and processes to manage the flow of information, ensuring timeliness, consistency, retention and integrity in knowledge and data management.
-Diary management, using sound professional judgement to prioritise meeting requests to ensure competing demands are effectively managed.
-Proactively monitor office communication channels with a high level of discretion, diplomacy and judgement. This includes co-ordinating and preparing responses or briefing notes as required, keeping the Global Head and wider team updated at all times.
-Support with on-boarding and off-boarding of employees, assistance with induction programs, new support role hires training and monitoring
Cost/Financial Management

  • Management of expense reporting for the Global Head and the UK-based Sustainable Investment team.
  • Monthly reconciliation of the Global Head and team business credit card and review of expense claims.
  • Support/manage the invoice approval process across the SI department.

Event Management

  • Organise domestic and international travel arrangements including travel visas, hotels and flights and travel itineraries/briefing documents ensuring drafting travel reports and ensuring travel reporting is up to date.
  • Coordinate internal and external events including team meetings, training, and celebrations. Scheduling, co-ordination and administration of external including meeting room bookings, catering, organising attendees and following up on any action items.
  • Support the delivery of IFM Global events, including virtual events, as required.
  • Provide strategic and logistical support for Committee meetings, as required.

Business Management

  • Provide management of contracts, liaising with Legal on review and completion.
  • Support the research team in specific research tasks.
  • Organising and distributing meeting packs, minute taking and oversight of actions as required (team meetings, offsites).
  • Support in preparing/updating presentation decks.
  • Keeping relevant team trackers up to date (eg external engagement tracker)

Your Background and Experience

  • Strong experience as an Executive Assistant within a corporate/professional or financial services environment, supporting a member of senior leadership with a global remit.
  • Experience with budget and expense management
  • Experience with complex diary and travel management

Qualifications

  • A-levels or equivalent would be desirable

Technical Knowledge

  • Proficient use of Outlook, skills in MS Word, Excel and PowerPoint; experience in using CRM system and SAP Concur beneficial

Business Knowledge
An understanding of corporate organisational structures, ability to read the relationships between departments and people.

  • Strong understanding of the principles relating to the delivery of administrative services, e.g. confidentiality, protocols, etc.
  • Strong written and verbal communication skills across all types of stakeholders within the organisation
