The Role
Provide comprehensive administrative and junior business support to the Global Head of Sustainable Investment and the wider team. Ensure the effective operation of the team by maintaining high standards of work in a timely manner.
Key Responsibilities include:
- Supporting the Global Head and UK-based team with effective role performance, fostering strong relationships with staff and external stakeholders.
- Staying informed about organizational developments to provide timely and relevant advice.
- Developing systems for managing information flow, ensuring data integrity and consistency.
- Managing diaries and prioritizing meetings with sound judgment.
- Monitoring communication channels discretely, preparing responses and briefing notes as needed.
- Supporting onboarding and offboarding processes, including inductions and training.
Financial and Event Management
- Managing expense reports and credit card reconciliations.
- Supporting invoice approval processes.
- Organizing travel arrangements and itineraries, including visas and accommodations.
- Coordinating internal and external events, meetings, and virtual events.
- Providing logistical support for committee meetings and other engagements.
Business Management
- Managing contracts and liaising with Legal.
- Supporting research tasks and preparing presentation materials.
- Maintaining team trackers and documentation.
Candidate Profile
- Proven experience as an Executive Assistant in a corporate or financial services environment, supporting senior leadership with a global scope.
- Experience in budget and expense management.
- Strong skills in complex diary and travel management.
- Qualifications equivalent to A-levels or higher are desirable.
- Proficiency in Outlook, MS Word, Excel, PowerPoint; familiarity with CRM systems and SAP Concur is beneficial.
