We are seeking a Client Services Administrator to join a growing wealth management firm in its Sunderland office. This is a key support role within the client services function, working closely with Financial Advisers, Client Relationship Managers and Paraplanners to deliver an exceptional client experience.

The Opportunity
As a Client Services Administrator, you will support the management and servicing of client portfolios through a wide range of administrative and operational tasks. You will help ensure that client records are accurate and up to date, assist in preparing annual reviews, and support the processing of new business.
You will also be responsible for providing a welcoming and responsive front-of-house service, handling incoming calls and enquiries, and ensuring clients receive a high standard of service at every interaction.
Key Responsibilities
Client administration
Prepare and process new client documentation, including collecting identification and financial information for AML and KYC purposes.
Maintain accurate, complete, and compliant client files and records.
Respond to client queries via telephone, email, or in person, resolving or directing as appropriate.
Schedule client meetings and manage adviser diaries.
Update and maintain client records within the CRM system.
Ensure data accuracy through regular checks and housekeeping of records.
Manage multiple tasks simultaneously, ensuring deadlines are met and escalating where necessary.
Draft and issue client correspondence such as policy summaries, statements, and follow-up communications.
Client review support
Assist advisers in preparing annual client review packs and supporting documentation.
Work with paraplanning and advisers to collate portfolio valuations, performance data, and financial information.
New business & policy servicing
Assist with the processing of new business applications and financial transactions.
Support policy changes, updates, and fund switches for existing clients.
Liaise with platforms and product providers to obtain information, resolve queries, and support application processing.
Office & general support
Act as a first point of contact for incoming calls and client visitors, ensuring a professional and welcoming experience.
Support general office administration including post, supplies, and meeting room preparation.
Assist with coordination of meetings, training sessions, and internal events.
Maintain a tidy, professional, and organised office environment.
Learning & development
Participate in internal training to develop knowledge of financial products, services, and compliance requirements.

You will ideally have:
Previous experience in an office administration or customer service role.
Strong communication skills, both written and verbal.
Excellent attention to detail and organisational ability.
Good time management skills and the ability to work under pressure.
Confidence using IT systems and maintaining accurate records.
A proactive attitude with a willingness to learn and develop.
