The Opportunity
An established and growing financial planning business is looking to appoint an experienced Senior IFA Administrator to join its team.
This is an excellent opportunity for an experienced Financial Services Administrator who is looking to take the next step in their career, with responsibility not only for providing high-quality administrative support to Financial Advisers and clients, but also for supporting and developing less experienced colleagues.
You will play an important role in ensuring clients receive an efficient, professional and consistently high standard of service, while working closely with Advisers, Paraplanners and wider teams across the business.
The Role
As a Senior IFA Administrator, you will provide comprehensive administrative support across the full client journey, ensuring work is completed accurately, efficiently and in line with regulatory and internal requirements.
Your responsibilities will include:

Providing high-quality administrative support to Financial Advisers and their clients.

Supporting, guiding and training less experienced Administrators and colleagues.

Assisting with technical, systems and product-related queries across the wider business.

Preparing client agreements, key features documents, client acceptance and data capture documentation.

Completing provider and internal new business paperwork.

Processing new business, fund switches, withdrawals, income payments, ad hoc and ongoing fees, GIA to ISA transfers and other investment-related transactions.

Processing paper-based, protection and more complex business where online applications are unavailable.

Completing post-implementation administration for investment and pension new business.

Processing Letters of Authority and obtaining information from product providers.

Supporting advisers and paraplanners with relevant plan and policy information.

Managing client changes, including changes of address, personal details, disengagements and deceased clients.

Maintaining accurate client records and completing regular administrative and tracking requirements.

Ensuring documentation is completed accurately and in accordance with compliance and internal procedures.

Dealing with client, adviser and provider enquiries professionally and efficiently.

Supporting colleagues during busy periods and contributing to wider departmental projects.
What We're Looking For
The successful candidate will have 3-5 years' experience within Financial Services Administration, ideally gained within a Financial Advice practice, Wealth Management business or similar environment.
You will ideally have:

Strong knowledge and understanding of the Financial Services administration process.

Experience across a broad range of Financial Services products.

Knowledge of investment and pension administration, including pension drawdown.

Experience with more complex planning areas such as AIM IHT mitigation schemes, Discounted Gift Trusts and Lifestyle Trusts.

Strong attention to detail and a methodical approach to administration.

Excellent communication skills and the confidence to work with Advisers, clients, providers and colleagues at all levels.

A proactive, solutions-focused approach to problem solving.

The ability to identify potential issues and find solutions before they become problems.

Experience supporting or mentoring less experienced colleagues.

Good working knowledge of Microsoft Office, particularly Excel, Word and Outlook.

Experience using Intelligent Office (iO) would be advantageous.

The ability to work independently while also being a collaborative member of a wider team.
